List the Opportunity by sales team

Hi CRM Expert, 

We required to create sales team that consist of many people, previously no sales team in CRM, and sales people already created many opportunities. 

We created Several sales team and put some sales people in the sales team. However after create sales team, we still can see list of the opportunities for sales team. 

How to see opportunity if we want to list down by sales team instead of by user.

    Hi SetioP,

    When you create any record in CRM the Owner Field will by default be the User who is creating it.

    You need to change the Owner Field with the name of the Team manually or use a JScript on the OnSave/OnLoad of the Opportunity to populate the user Owner Field with the Team name.

    When you do so the Opportunity will belong to the Team and not to individual User.

    You want to keep the records ownership under an User or a Team?

    Or your point is to see the Opportunities owned by Salesperson under a Team?

    I think your point is not to change the Opportunities ownership from User (salesperson individually) to a Team, instead, you want to keep the Opportunities owned by each individual salesperson, but you need to know also at the top level by the Sales Team.

    If yes, then you can create a reports, get All Opportunities owned by Salesperson under a Team.

    My Question, is that your Sales Team consist of sales people across different Business Unit?

    Because usually we measure the performance not by Team in CRM, but by Business Unit or Territory, my suggestion, instead of using the Team, why not you group by a Business Unit or Territory, easier.

    If you insist to use Team, you can create a Report.

    The logic is get all of the opportunities, get the owner, and then you can get the Team that the Users are belonging to.

    You can also use Access Team if you think you have a lot of records handled by different Team

    Another workaround, please check, you can use the Advanced Find feature here..

    Under your Opportunity entity, just defined your criteria as below and defined your own Sales Team.

    I do not think that changing your Ownership from User to Team is a best choice because you will lose the measurement for each individual salesperson performance, better you put the transactional things to the lowest level, then form the summary, you can use bottom up to get the total Sales by each Individual and also by the Team.

    Hii Kumar,

    Thanks for your quick response, I understand that creating the opportunity the owner will default to user who created it.

    from that opportunity created by the users, I need to see total no of the opportunity of my team that consist of many users.

    If I change the owner field, I couldn't see sales performance of individual people.

    Yes, my purpose to see the opportunity owned by users under my team. I need to see my sales team performance and as well as individual performance, and will need to see from the dashboard also reporting.

    Yes, My team consist of sales people from different business unit and also territory

    as our design now, business unit applied to our organisational business unit (Profit Center) and our teritorry applied for all our branches. Requirement to create Sales team according to the Company / Organisation structure that can be across different business unit and teritorry.

    I will need to test your information in my testing environment, and get back to you with the feedback.

    Hi SetioP,

    You can use Advanced Find to list down all Opportunities of the Current User and his Team (provided has privilege).

    Use Owner Field to map the Current User as shown below

    This report will only give details of that Team which contains the report running user as one of the member.

    --> Yes, a custom report, but you can put it into the Dashboard.

    Because, I don't see any possibility creating a Chart in CRM, because, you know, a user can belong to any Team, multiple Team, as we know CRM cannot use the Axis (X Horizontal, other than a field), and if a user can tie to many team and a team can tie to many users, then it will be a Many to Many relationship, and not stored in a field, so you cannot use it in the Chart.

    --> Okay, I think you have a good design here because you want to have many Teams across BU and territory so it's fine, if it is too dynamic, you can also use Access Team.

    The problem here is only you cannot get the bottom-up summary from out of the box CRM as per I mentioned, User and Team are N:N Relationship so you need to create a custom report, or you can use advanced Find, since you are using CRM 2013, so the possibility to get by Team is like in the picture I captured before, you can select your own Team, not only using the "Equal Current User" because if you use this, it means you only can see your own and your team records, in fact, you are in IT, this is not you that need, but the users from other departments, so you cannot use this option.

    And if it is not too late, you can also create another intersection entity with lookup fields:

    Opportunity and Team..

    But, you must create the records automatically using plugin, once every opportunity is created you must get the owner Team then create the records.

    And also everytime there are changes in the Team membership, you also have to update the records.

    Then, you can use this entity to create a chart that you can just plug it into the Dashboard, use the Team as the Axis.

    And you need to be careful while creating and run a report, it can be overlap because 1 user can be in two Team, Sales Team A and Sales Team B.

    In fact, if I run the report by User A, I will get 1 Opportunity

    If I run the report by Sales Team A, I also get 1 Opportunity

    And if I run report by Sales Team B, I also get 1 Opportunity.

    But, if I run the report using 2 parameters: Sales Team A and Sales Team B, well, I will get two opportunities (1 from Team A and 1 from Team B).

    So, you might need to distinct it.

    Hii Aileen,

    I created a team that consist of several sales users and also can see no of the opportunity to my team. but I'm facing another obstacle.

    Here the scenario :

    2 team work under me.

    Team A :

    user A1     --> BU= X01,   Territory = Y01

    user A2     --> BU= X02,   Territory = Y02

    User A3    -->  BU= X02,   Territory = Y03

    Team B :

    UserB1    --> BU = X01, Territory = Y01

    UserB2    --> BU = X02, Territory = Y02

    UserB3    --> BU = X02, Territory =Y03.

    I succeeded to create  team A and team B and also can create reporting, however if I need to create Team C that consist of Team A+Team B, i couldn't get total of the opportunity.

    (how to connect team A & B in team C..?).

    If I need to see reporting or dashboard in multi dimension (by team, by territory or by BU) what is your suggestion..? create another team that fulfill this matrix...?

    Hi Setio,

    Unfortunately in CRM there is no Team - hierarchy parent and child feature and you cannot also do a rollup like Account and Parent Account-Sub Account rollup the activities and opportunities together.

    So, let's say you create a custom relationship Team to Parent Team, it is possible, but when you want to see from the Team C perspective, you wont get the Team A + Team B Opportunities. You, again need to create a custom report.

    SO that, if it is still possible, I suggest you to re-design the Business Unit, since as I see here, in your Case, there is no User under 2 teams, for example User A3 is always under Team A and so on.

    You can create manual lookup Team to Team, but you need your technical person to create a rollup report.
