View that shows contacts with form submissions or change in specific field per month

Hi

I’m looking for a way to identify contacts that was either created or influenced by the marketing department on a specific date or month. This usually happens when a user is submitting a form on our site through a plugin called ClickDimensions and in that case I can identify the user without problems, as the plugin is integrated with CRM.

However we have another type of forms on external sites as well, like Facebook, where the data is submitted to CRM through a 3. Party application called Zapier.

To identify a contact created in CRM through Zapier I have created a text field on the contact and I populate this field a specific code depending on which campaign it came from. That way I can tell if a contact came from Zapier and from which campaign.

So I’m looking for a way to create a view that shows all contacts that either submitted a form on the site or submitted a form through Zapier last week, last month, last year etc.

I tried creating an advanced search like the one blow:

Main search entity is “Contacts”

Search criteria:

“Sent forms (contact) –> completed”

and

“Kampagnekilde (the field I created to identify contacts created through Zapier) --> contains data”.

This one doesn’t work as I can’t change “and” to “or” and it doesn’t take into account if the field “kampagnekilde” was changed in the given time period, only that it contained data in the given period.

 

How do I solve this? Maybe there is an easy solution to this and I’m making it too complicated?

    Hi Alex

    I need to track changes to the contact as well.

    In the Contact entity I can't group the sent form criteria with anything. Don't know why to be honest.

    Thanks for your answer. I think I have to go with option 2. Could you be a bit more specific about how the custom entity is set up and what is the exact purpose? (I'm a CRM newbie)

    Hi,

     if the "Date" is all about when the contact was created, can't you use "CreatedBy" for the date filter?

     As for "and" vs "or", you can group conditions with And or Or:

    Based on your description, I don't think you have data in CRM that tells you when the field “kampagnekilde” was changed. (The audit log does have this information, but you can't use that in a CRM query)

    So, you need to track when the field “kampagnekilde” was changed. You can do this with a workflow that runs on change of the field “kampagnekilde”. You have 2 options:

    1. If the field “kampagnekilde” will only be changed once on one contact, you could create a DateTime field on the contact, and in the workflow set this field to the Execution time of the workflow. Then use this field in your query
    2. If the field “kampagnekilde” could be changed more than once on one contact, and you need to be able to identify each change, then create a custom entity with a N:1 relationship to the contact. In the workflow, create an instance of this custom entity. Then you can query on the createdon field on this entity
