How to export data out of Dynamics CRM

Posted on by 20

Hello, I'm not sure at all to be in the right forum, please tell me if I'm not.

I was contracted to do a data migration between source program A which is a Microsoft Dynamics instance and program B which is a PHP Web-app with a MySQL db.

The dream scenario would be if I could directly export the Microsoft Dynamics database into a MySQL database. I then could work with the data easily and import them in the right order / format into program B.

I have never worked with Microsoft in depth before, so apologies if I don't understand basics.

Is it possible to export the Dynamics 365 database? To an Excel or a Microsoft Server Database would be ok too as long as I can work with the data.

I haven't gotten any instructions from their IT appart from a few links to documentation of different utilities (Microsoft Dynamics 365 (v8.x) Software Development Kit, Excel Export Tool der XMR Toolbox and few others). They would do it for over 4'000$ and need 6 weeks. Is it that hard?

All I have right now is a username and password to the web portal of the CRM.

Where would I start and is it even possible with what I have? I presume not but I thought why not ask anyway. I can ask them for access credentials.

Thanks a lot for whoever is reading this.

You can use Skyvia to export data from Dynamics 365 to MySQL or any other data source (including CSV, if needed): https://skyvia.com/data-integration/integrate-dynamics-crm-mysql. It is a web-based no code data integration platform with free plan available.

    Samuel,

All columns - pretty much doable - if you need additional columns - open Advanced Find, add required columns to it, and run "Export".

    Good luck.

You could use the configuration/data migration tool which is part of the Dynamics Tool set , this creates a schema and exports the data into a zip file as an XML representation of the data. Not sure if there are limitations on the amount of data.

But once you have the data in an XML format you could write something to import it into another database

Yes but in the view there are only few select values of the Contacts for example. There isn't nearly enough information in this static worksheet. I need all the columns hence my interest in the database.

Is there not a possibility to export all columns and all values the with Excel? Almost can't believe that.

Try to use "Static Worksheet" instead - it should give you all the records from the current view from all of the pages available.

    Hey, excellent suggestion!

On the video is the dynamic worksheet. I've tried it but its stuck on the "loading" modal box i.imgur.com/oAi1jlo.png for the past 30min and indicating only 250 records which corresponds to 1 page. I'd need all the elements.

When I tried it the first time I think I exported with excel templates and when I selected the "custom columns" which were almost all columns available the export had only 50 records. I checked the documentation and it's written there too.

    docs.microsoft.com/.../analyze-your-data-with-excel-templates

    > During the creation of an Excel template, a maximum of 50 records are exported in the template file.

Also it is very unpractical because I have to do those export multiple times and I couldnt find a way to save the excel export with all selected columns.

    Samuel,

Ok - got it. You can try to use the "Export to Excel" feature - what I don't know is the way to import that data on a different PHP/MySQL CRM - you will have to figure it out by yourself.

You can check this video - www.youtube.com/watch

What I need is the data the users entered. The business data. Their customers, bills, policies etc.

The client wants to change provider from a company that offered the Dynamics 365 CRM to another one with a different PHP / MySQL CRM. I need to transfer the data they will need to continue their work in Program B.

    Hello,

Can you please explain what exactly information you need from the system?
