GP 2015 (and 2016) - Limited / Self-Service Employee Can View Pay Stubs And Personal Info But Can't Edit

Posted on by Microsoft Employee

Since business portal was deprecated I am testing out the employee self-service features. Trying to discern what all is included in the starter GP versus having to have GP Extended (Human Resources or Human Resources+Payroll module). From my research so far it seems like a self service user with the ESS security role should be able to:

  • View/Edit personal information (name, address, phone, etc)
  • View paystubs
  • View benefits
  • View and change direct deposit information
  • View and make changes to one's W-4.

In my testing I have been able to view all of these things but not edit them, any ideas? Thought it was maybe browser specific, but IE, Chrome, and Firefox all let me view but not edit these items.

Gave up on having employees try to check their paystubs through GP. Outside of never being able to find information for questions like I had above, the licensing for this was crazy. Beyond licensing, the setup to even test it was rather insane (even some MS partners had trouble with it). Employees now check their paystubs through Greenshades. 1/10 of the cost of MS's nearly unworkable solution and approved by MS and its partners. Very easy to setup and run.

I realize this post is outdated, but I'm wondering if you ever found a solution.  We are in the process of upgrading to GP2016R2 and I am experiencing this same exact issue in our Test environment.

Tanya can you be more specific when you say "Default areas of functionality", is what I listed considered that default? Any thoughts as to why I can view that information as a basic ESS Employee Role but not edit it?

Starter Pack includes Payroll and Human Resources. Explanation of ESS User:

The Self Service User is a new license type that is available with Microsoft Dynamics GP 2015. This new license is most beneficial for Microsoft Dynamics GP 2015 users that do not fall under the category of a FULL or LIMITED USER, but rather just need to be able to perform basic maintenance on a very limited scope of data. These users are Named users, instead of Concurrent users. The Self Service User CAL needs to be assigned to at least one of the following five roles.

    ESS Employee

This role grants access to the Default areas of functionality, as well as the following areas:

    Employee Timecard Entry

    Employee Timecard History

    ESS Employee - BSS

This role grants access to the Default areas of functionality, as well as the following areas:

    Benefits View

    Enrollment Submission

    ESS PTE Employee

This role grants access to the Default areas of functionality, as well as the following areas:

    PTE Employee Expense Entry

    PTE Timesheet Entry

    ESS Purchase Requester

This role grants access to the Default areas of functionality, as well as the following functions:

    Enter Purchase Requisitions

    View Purchase Requisitions

    View Requisition History

    ESS Employee Manager

This role grants access to the Default areas of functionality, as well as the following functions:

    Manage Employee Profile

    View and Approve Timecards

Note that the ESS User License is not restricted by default. You must assign one of these roles to the user in order to finalize the user setup.
