Restrict Purchase Orders re Non Inventory Items

Good morning,  When entering purchase orders, sometimes we inadvertently enter an item that does not exist (a typo). However, Great Plains will accept the item.  We can't inventory it, and we can't sell it.  Is there any way we can keep this from happening?  That is, can we restrict purchase orders only to items already set up in inventory?  Thanks for any help with this.

    Hello Kerry

You can not prevent entering a non inventory item on a purchase order completely, but you can set a limit such typo by activating the "Add Item" feature. On the purchase order, click on options > check "Add item".

Now as you fill the details on the purchase order, the system will pop up a warning message in case you entered an item that is not configured.

Making this option a default will limit down the chances of entering an incorrect item number, to do so check the support article ID: 891215

    Your feedback is highly appreciated,

There is also a Professional Services Tool, available for free from your GP consultant, that will automatically mark this option on every newly created PO.  The tool is called "Default Add Item POP/SOP."

    Hi Kerry!

Mahmoud is correct, unfortunately there is no current way to block an non-inventory item from being entered onto a Purchase Order. The Add item is the best way as it does pop-up an error in which if the item is supposed to be created already users might double check the spelling.

Please let us know if you have any additional questions!

    Hello everyone,

Our company has developed an add-in to prevent users from entering non-inventory items. We would be happy to chat with you about the product if you're interested?

(We developed it specifically for one customer, we are a GP partner with a development staff)..

    Thanks!

I, the customer, can vouch for this add-in.  It works excellent, without a hitch and does exactly what we wanted; preventing staff from entering and receiving non-inventory items which prevents much more time correcting the issues it creates after the fact.

    Hi All

A trigger developed with GP Power Tools could easily prevent adding of non-inventoried items.
