MS Portals: contact already exists when register

Hi Guys!

On MS Portal, I would want to handle registration of the user in a way that the system recognize if the contact is already in the system(recognizing the email) and in this case just to send this contact confirmation email. If it doesnt exists, he should be registered as usual. Is it possible to do it in this way?

 

I can see that there is invitation section with checkbox that it is existing customer but I dont have an idea how to use this funcionality without any manual CRM user interaction. I would want to automate the whole process..

    Hi Arpit,

    I understand that your solution was verified as an answer.

    Are you able to explain how this would be different to the current 'Invite to Portal' button on the Contact form please? - When we invite a customer, the customer recieves the email to register and then we get the error 'this email is taken'. What exactly is the workflow you've created doing something different please.

    Hi Miha,

    You can make the 'Create Invitation' workflow on-demand in order to send the Portal Invitation to the existing contacts. I have renamed it to 'Send Invitation' in my instance.

    Now, Select all the contacts from the grid to whom you want to invite > Click on (...) Run Workflow.

    Select 'Send Invitation' and click on 'Add'. Here 'Send Invitation' is my on-demand workflow. Which will create invitation code and then send the invitation to the selected contact records automatically.

    Hi Arpit,

    thank you for the link. I think that we can use this.

    But the main problem remains the same - I just want to cover the scenario: we have contact already in the system > one of these tries to register. How should we handle from this step on? Maybe to send invitation code to this email in the email field below "... is already taken." message. Is this possible? Because the system should recognize to which Contact to send the invitation code etc..

    Also, Portal does not allow duplicate email contacts from being registered

    Hi Miha,

    In this case you can use Duplicate detection rule, you can create Duplicate detection rule on Email, so when ever any contact is added it will check if email already exist, if exist then it will  show warning message.

    In this case you will be able to maintain unique email.
