What is the best way to organise price list ?

Posted on by Microsoft Employee

Dear all,

I am reviewing my product different price list because we get so many confusion and switch between so different on. Base on this simple fact I was wondering what is the most efficient way to organise price list.

We are a small company, so we are not looking at price list by territories.

For exemple :

  • my first idea was to get a price list for each individual product supplier
  • my second view was to get price list based on product types ( like touch scrren price list, PC price list, stand price list,...)

Based on this different approach for instance I could deliver to my Customer a quote for a Screen and a PC on same quote. For that I need to get the product from 2 different price list

What is the best way to go ?

Thnaks for advise

regards

I would recommend you do use the cost or list price fields on the Product record, then you can create Price List Items (PLI) that have values relative to this.

For example, your Standard Price List could include a PLI with the price set to 100% of your list price, whereas your VIP price list might have a PLI for the same product at 80% of list price. Alternatively you could use standard list price with a markup, or calculated margin to generate a price on the price list item, with rounding rules to make these into "sensible" prices.

Then if you want to change a price in future, you can modify it in one place and have all the price list items updated automatically.

If you had a special offer price list then you might use a fixed currency price for the price list items to make sure they remain fixed and match your marketing of this offer. This price list would probably have a fixed end date when the offer is no longer valid.

    Hi Sergec,

As I said, you can add multiple prices by utilizing the product price levels. Follow those steps and you'll be golden.

I think you're getting confused with the Current Cost, Standard Cost and LIst Price fields. These are not used in pricing for the order.

    - Standard Cost is what the product typically costs YOU to make or buy

    - Current Cost is what the product costs YOU to make or buy right now, in case there is a temporary price bump

    - List Price, I believe, is like the MSRP of your product. You can have a List Price of $199, but you actually charge what's on your product price level.

Again, please ignore those fields and just follow my steps from the previous entry:

    1) Create a new product and save it with the required fields

    2) Either through a subgrid on the form or related entities, find the area for Price List Items

    3) Add a new Price List Item with Price List = Standard, Amount = $150

    4) Add a second Price List Item with Price List = VIP, Amount = $120

    5) On your product, set the Default Price List to Standard

Hope this helps, if so I would appreciate if you would mark this as the verified answer.

    Thanks,

     Aiden

You can have a single product belonging to multiple price lists - it's just that you can only select a single price list on an opportunity/order/quote. For these reason your price list should reflect the prices that you sell all the products to a particular group of customers.

To add the product to multiple price lists - simply open the price list and navigate to the price list items grid.

    Hope this helps,

    Scott

RE: What is the best way to organise price list ?

Hello Aiden, thanks for your information.

But still on point which is not clear for me :

Lets say I define PRODUCTA with a price of 150, 150 is define Inside the product configuration form where I have Current Cost, Standard Cost and LIst Price

Then I define a default price List "Standard" which will be associated with PRODUCTA.

Now the question is how can I get a new Price List "VIP" with PRODUCTA price =120 ?

As far as I understand, I need to create a kind of clone of PRODUCTA which will be attached with PRODUCTA ??

I understand it so that you cannot have a single PRODUCTA belonging to 2 different price list correct ?

If not I miss something I do not understand and where

    Thanks for clarification

RE: What is the best way to organise price list ?

    Hi Sergec,

Let's assume you already have two price lists set up, this is how you would create a product with different prices for each:

    1) Create a new product and save it with the required fields
    2) Either through a subgrid on the form or related entities, find the area for Price List Items
    3) Add a new Price List Item with Price List = Standard, Amount = $150
    4) Add a second Price List Item with Price List = VIP, Amount = $120
    5) On your product, set the Default Price List to Standard

Now your product has a default price list of Standard, but there are prices defined for alternate Price Lists as well. If you have a sales entity with products and a price list (order, invoice, etc), when you add a product to the order it will apply the price for that price list. If the order is set up with a third price list "Employee" that doesn't have a price set up, it will assume the price from the product's Default Price Level, Standard.

Hope this helps with your setup. If so, I would appreciate if you would mark this as the verified answer.

    Thanks,
    Aiden

    by saying

"Each product would have a default price list of standard, and each could have 2 product price lists, standard = $100 and VIP = $80. This is how I typically implement price lists."

    you mean the following :

Product 1 : Default Price List Standard =>100$

Product 2 : Default Price List Standard =>150$

But how do I set Product Price List VIP for Product1 and 2. As far as I understand a Unique product can be only in one price list.

If for a Quote I want to apply for a Customer VIP price list, I need to create a new Product similar to Product 1 but with VIP price ?

    Thanks for clarification

    Hi,

A product has one DEFAULT price list, but it could have many Price List Items (also called Product Price Levels). This is what actually sets the price.

Say you have two Price Lists - Standard and VIP. Each product would have a default price list of standard, and each could have 2 product price lists, standard = $100 and VIP = $80. This is how I typically implement price lists.

I like Scotts idea of using date based price lists too. You can set up a price list 2015 Q3, 2015 Q4... and each product would have a different price for each quarter.

    Hope this helps.

    Thanks,

     Aiden

    EDIT: Edited a typo

RE: What is the best way to organise price list ?

Ok so in my scenario for instance we are providing follwing services :

    - Selling material ( PC, screen, stand, scanner,...)

    - Providing developement work (hours or days)

So if I follow you does it mean I need only 2 price list in this case ?

An Other thing is that if I provide Development hours to a Customer which by for me the screen and PC, then devlopement hours will be cheaper BUT if a Customer just ask me for developement hours , it will be normal price.

How can I split price list then here, because a product can be only in a single price list rigt ?

    Thnaks for help

    Hi!

Price lists are usually used to set the prices for a particular time period - so that if your prices change every quarter, then you would create a new price list. They can also be used if you have a price list that has been agreed for a particular group of customers that is different to your regular list price - this price list then can be selected for particular customers. Don't use price lists for each product or supplier - supplier price can be set on the product it's self because you will normally sell a product at different price to the supplier price.

    Hope this helps!
