How can I locate missing amount in a report?

Posted on by 345

We have a Payables Transaction Edit List that shows a Batch Actual total that is $94.18 less than the Document Total listed.

We have verified that the Document Total is the actual total of all the vouchers on the list but cannot account for why the Batch Total Actual is showing a difference.

    Chris,

If the reconcile didn't fix it and you absolutely needed it fixed, you could do this directly in the tables...but there is typically no reason for this, as the transactions will post just fine and will never look at the batch total.

Thank you for the suggestion.  I had one of our users try the steps you included and this did not correct the issue.  The report that was generated had no errors included but also did not indicate that any change was made to the existing batch file.

    Chris,

This can happen sometimes when the batch total does not get updated properly.  This batch total is not actually used for anything by GP except batch verification.  In other words, if the total is wrong that will not cause any issues during posting.  However, it can be annoying to see an incorrect total and can certainly cause an issue if you are doing batch verification.

You should be able to fix the total by going to GP | Tools | Utilities | Purchasing | Reconcile and selecting Batches under the Reconcile section.
