Hi All,

We use monthly journals to copy from excel and paste into general journal and each time we need to change the Document No. field in excel before posting it into general journal in BC. Is there a way to paste all other column other than document no. and BC automatically fill the document number from no. series.

Hello @BBBCMAN,

To configure automatic document numbering in Microsoft Dynamics 365 Business Central, first go to No. Series from the search and create (or use) a series such as GENJNL. Add a No. Series Line with a starting number (e.g., GJ000001), set the increment to 1, and ensure the line is open and valid for the posting date. This defines how the system generates sequential numbers for your documents. Microsoft explains that number series are used to assign unique, sequential identifiers to transactions and records, helping maintain audit consistency and reduce errors.

Next, open General Journal Batches, select your batch, and assign the created No. Series to it. Make sure Increment Document No. is enabled if available. After this setup, you can paste journal lines from Excel without the Document No., and Business Central will automatically generate it during entry or posting.

Hi Mansi,

Yes I have no. series setup with default numbers. selected. But when you paste all other column including the document no. as empty its just paste everything and leave blank for document number so user wouldn't able to post.

I find a simple quick approach is to just use the Renumber Document Numbers button under Home > Renumber Document Numbers

That will then just use the No. Series' on the general journal you have setup and automatically populate a document no.

Hi B,
The easiest one that always work is the Renumber Document Numbers action. You paste your lines from excel like normal, dont worry about the Document No, then before posting just go to the action Renumber Document Numbers and BC fix all the numbers in sequence from the series for you. One click and the posting error go away. This is the way i usually do it.

About leaving the Document No empty, careful there, because when a No. Series is on the batch the lines still need to be in sequence, empty or random will give you the posting error. So Renumber is the safe path.

There is also the Posting No. Series field on the batch, in some setups this replace the line number with the series number at posting time, so the document no on the line matter less. But this behave different depend on the journal type, so i would test it on one batch first before you trust it.

Simply hide the Document No. field on the page. When pasting from Excel, only the columns that are already displayed will be pasted.

Hello,

Yes, but not exactly during paste. In the General Journal, if the journal batch has a No. Series assigned, you can paste the lines without relying on your Excel document numbers, then use Renumber Document Numbers before posting. Business Central will update the Document No. values sequentially based on the journal batch number series. Just be careful if multiple lines must share the same document number, because BC renumbers based on how the journal lines are grouped/order in the journal.
