File field in Opportunity

Hi!  I  am rather new to Dynamics 365 CRM, but have extensive knowledge of CRM's in general.  I am trying to add files to the opportunity form and it is not allowing me and telling me to "Collaborate and share files easily with SharePoint–ask your admin to enable it for your team".  Do I need to make a sharepoint site to just add documents to the opportunity?  Right now we just attached the document in the timeline and it becomes a hassle to search for documents quickly.

Any help would be wonderful!

    Hi, PECO

I'd rather recommend that you use the SharePoint integration to add files for the following two reasons:

    1. The storage space available in SharePoint is much larger than the one in Dynamics 365.
    • SharePoint storage: 10 GB standard ($20 per GB extra)
    • Dynamics CRM storage: 5 GB Standard ($10 per GB extra)
    1. The document management and team collaboration features of SharePoint is better than Dynamics 365.
    • Users can view and work on business documents from both SharePoint and Dynamics 365. This makes it easier to search, organize or edit documents.

    • It can receive collaboration for non CRM users within your organization or share documents externally.

    • It enables use of SharePoint document manager features like check out/check in and version history.

    • It provides the interface to support OneNote integration with CRM.

    • It can sync to your Desktop Library, Outlook and so on.

You can set your SharePoint integration up by referring to the following article:

    RE: File field in Opportunity

    Hi,

    Thank you for your query.

There are 2 ways to attach documents in Dynamics 365:

    1. Attach documents in Timeline (Notes): This requires no additional setup, however as you mentioned, it is difficult to search or catalog such documents.
    2. Use SharePoint (online/on-premise): Enable SharePoint Integration and upload Documents to a SharePoint library. This feature allows you to use SharePoint's document management features.

Yes, for the SharePoint integration you need to create a site and link it with Dynamics 365.

Following article will take you through the process of setting up SharePoint with Dynamics 365:

Furthermore, here is the official documentation:

    https://docs.microsoft.com/en-us/power-platform/admin/set-up-sharepoint-integration

Let me know if you have further queries.

    Thank you,

    Wahaj
