Can state be set automatically after changing status reason from web portal?

Now I have a new question. Web portal is able the send request to Dynamics CRM via call CRM API. One application has two state:active and inactive. and within"active" we have :approved, on hold, exception, within"inactive": cancelled, archived,expired.  When web portal need to change the status reason from approved to cancelled, how to make state to be set as inactive automatically? If not, do they need to send status reason with state code? Thanks!

    You can have a field (i.e a optionset field with all the status reasons) in CRM and update that field value from portal. Now create a system workflow in CRM which triggers on change of this field(optionset field). That's it, based on the optionset value using workflow step, update the status with status reason of record.

    It sounds a little difficult for me. Do you have any sample for this? Could you provide more detail?

    If a request sent from web portal via WEB API, how can the plugin or workflow be fired? Thanks.

    If your planning on using the CRM Web API, you can't securely call the CRM Web API from the portal.  Your functionality will need to be implemented with the native portal components (entity form or web form) and a combination of plugins and workflows if necessary.  Entity forms have a feature called action configuration which you can use to execute workflows where you can make your state modifications.

    It's a request from web portal call WEB API. Only status reason will be sent. Thanks.
