How to remove/delete/clean-up item list on RMS?

Hi there,

I am in the proceed to moving from Microsoft Dynamics RMS to a new platform.

I have over 200000 items setup on the RMS system.

Approx. 10000 of these items are current and need to be transferred.

How do I go about choosing the current items from the no longer used item?

    Hey Paul - one option is to run a SQL Query in RMS Admin. You need some sort of criteria (eg: items not sold in the last year). You also need some sort of outcome (eg: add "zzz" to the lookup number for items not sold in the last year or make the items inactive). Then you can run an inventory report and export to excel for importing in to the new software (if supported).  1) Be sure to make a backup of the RMS Db before running any queries 2) What is the name of the new POS software that you will be using? 3) If you need assistance, please contact your Microsoft Dynamics RMS Partner - should take them less than an hour to assist you (unless issues are encountered, of course).

    Hi Paul,

    As Kevin stated, there are a couple ways to accomplish what you are wanting.

    The best solution for your migration may depend on what format is needed to input the items into the new platform.

    For our customers, we normally base this on last sold and/or last received, however we always keep a backup in place for reporting and archiving.  As others have stated, there are a number of different ways depending on what you need.

    On the data clean-up, I have items that I will no longer be buying but would like to keep the info so that we can see it in the purchase history or past sales reports, etc... (approx. 23,000 items of which 4000 are being sold, so 19,000 will never be purchased or sold again)

    1) Would making these items Inactive serve any purpose?

    2) What does making items Inactive actually do?

    Hi Danny!  Here is the information from the RMS Users Guide regarding inactive items:

    "Deleting items and making items inactive

    You can delete items from a database or make them inactive.

    ****Generally, you should not delete items after they are associated with sales transactions, since doing so will invalidate data associated with the items.****

    You can make items inactive rather than deleting them. This preserves sales data associated with the items while excluding them from the item list and reports.

    Inactive items can be sold (by typing in the item lookup code or scanning the item) and ordered and will appear in assembly, matrix, and lot matrix items. You can prevent the sale of all inactive items by turning on a configuration option. You can also prevent the sale or ordering of specific inactive items.

    *****Note: Deleting items has serious implications and will invalidate data associated with the items. You should be fully aware of its consequences.******

    To delete an item

    1.       On the Database menu, click Items. The Items window appears.

    2.       Select the item you want to remove, and then click Delete. Store Operations displays a reminder that deleting the selected item can not be undone.

    3.       To delete the item, click Yes. To cancel and return to the Items window, click No.

    To make an item inactive

    1.       On the Database menu, click Items.

    2.    If you want to view on active items, select Active in the Filter box.

    3.    Select the item you want to make inactive, and then click Properties.

    4.    On the Options tab, under Options, select the Item is inactive check box.

    5.    If you want to block the sale of the inactive item, select the Block the sales of this item check box.

    If you want to block the sale for a specific period of time or according to a schedule, select the appropriate option.

        If you want to prevent the ordering of this inactive item, select the May not be placed on purchase order check box.

    To block the sale of all inactive items

    1.    On the File menu, click Configuration, and then click the Options tab.

    2.    Under POS options, select the Prevent sale of inactive items check box, and then click OK.

    To make an inactive item active

    1.       On the Wizards menu, click Inventory Wizard, and then click Next.

    2.       In the Inventory tasks box, click Task 200: Make Items Active, and then click Next.

    3.       Select the item you want to make active, click Next, and then click Finish."

    I have used this utility in the past to mark items inactive or delete items with no activity.

    It appears to be free now unless you request support. Detailed instructions are included.

    Great thanks - get the connect gui but no other gui shows up. Maybe I don't have the right version of .net for this application.

    Any suggestions or why it doesn't work for me.

    Try to this for  remove/delete item list:

    Run DRS Tools, connect to your RMS database, select Maintenance, Mark Inactive, press F5 to view current candidates (items with no activity in over one year, or change cut-off date in upper right and press F5), Mark all or selected, enable Remove matrix class orphans, click Save. Wait for the screen to clear then Exit.

    I run DRS Tools as administrator, connect to Database, see a message  Database refresh in Progress - flashes for a second or so.

    Select Maintenance or any other function and nothing appears on my screen.
