Items being included in the AR History Trail balance that have been previous paid. For customer ABC and XYZ. An example is invoice #999999 for ABC showing open in History sales Trail Balance but was paid in 2010. Not included in current balance totals.

Can you please provide me steps to run checklinks on the AR tables first and then run Check Links.
Also, d o I need to take backup for databases or backup in GP for reports? Please provide me those steps also.

If this happened following a WS Crash, run checklinks on the AR tables first and then run Check Links.
Do Backups first.

I do not see any reports in Customization Maintenance window to export.
Step 1: Export resources from the current Reports.dic file
1) Follow the appropriate method:
-- In Microsoft Dynamics GP 10.0, click Microsoft Dynamics GP, click Tools, click Customize, and then click Customization Maintenance.
-- In Microsoft Dynamics GP 9.0 and earlier versions, click Tools, click Customize, and then click Customization Maintenance.
2) Select the forms or the reports that you want to export from the current dictionary files. Use the SHIFT key or the CTRL key to select more than one resource.
3) Click Export.
4) In the Please select a package file dialog box, select the location where you want to save the file, name the package file, and then click Save.
Okay, you may have a corrupt reports dictionary on that machine then. It wouldn't hurt to follow the instructions in this KB article - support.microsoft.com/.../en-us.
That might resolve it.
Yes, this is just started this week for only customers ABC and XYZ. One of the user PC crash last to last week and I believe this is happening because of that crash only for that two customers.

what are the steps to remove old history from utility? If I remove old history from utility means the data is permanently gone? In back end sql what table I can look to find old data?
Yes, Report Options settings have 'Exclude Fully Paid Documents' checked.
I am sorry, you did say HISTORY trial balance.....this is correct. The history TB shows all invoices and payments etc applied.
To remove old history, there is a utility to remove history. Make sure you will never need this again or you have it moved to a DataWarehouse
