Is there a way to send from group/email addresses in MS Dynamics CRM

Hi there,

a business unit within my organization has a lot of interest to being able to "send emails from group email address to multiple users".  Is that possible within MS CRM?  and what would be the best direction to go about configuring that?  I'm assuming setting up users among teams is the best way to go?  However, how do we get the CRM system to link the group email address (like you see in global address book) with the team?

    Hi David,

Within CRM the from email address is either a user or queue email address. I don't believe there is a way to override the from email address with your own  as the from address is validated when the email gets sent.

For your scenario you could set up a queue with an email address such as support@abc.com and use this to send outbound emails. You could configure your email router to forward any incoming emails destined to support@abc.com to a group list.

I hope I understood your problem

    Cheers

    Joe

Interesting,  Can a queue still be setup if I have not installed the email router ?

No you need the email router for email queues

Thanks, can you recommend any resources on how we can configure the email router?

    www.microsoft.com/.../details.aspx

You need to install the router on a server/pc and you could consider a hosted image like azure if you don't have one joegilldotcom.blogspot.ie/.../installing-and-running-dynamics-crm.html

Alternatively you send from outlook changing the from address to your group and then use "Set Regarding" to link to CRM. Best to try it with a trial version of Dynamics to see if it works for you

Thx Joe.  Have you seen this error before?  I already checked that my contacts under the contact group have valid emails and also ensure they are "allowed to receive e-mails".  What else maybe mysteriously triggering this error?

ContactTest does not exist in CRM that's why it wont sent it. Trying send the email direct from Outlook and then on the sent email select "Set Regarding to" this might work

An alternative is to create a marketing for the distribution list but then then you may have duplicate email lists

    Cheers

    Joe

Thanks for your reply Joe.  It seems like we're very close to solving this.

To clarify, "contact test" is an active contact group in our CRM.  see screenshot below.  So,  it seems like we should be able to send from our group email (performance management) to this contact group in crm.

I'm not sure what is triggering this error.  I aso ensured that I "approved the email address for the performance management group email mentioned previously by going to settings/customizations pane and appproving as a sys admin for CRM.  I also added this group email as a user to ensure it links with our global active directory in outlook.  I'm at a point where I am stuck at a wall.

    Any other ideas?

Actually Joe, Let's step back from this issue.  I was wondering if you could answer another one I have as i feel solving this one has more of a need for us and will probably in time solve our future need of sending from shared E-mails.  here is my Question:

*With MS-Dynamics CRM outlook add-in and Dynamics CRM 2011 web application installed, Is there a way to send from Outlook on behalf of a shared e-mail to contact groups stored in CRM?  And does the Email Router need to be configured and installed on the production server?  We seem to be able to see these contact groups  (see below) from CRM

However, outlook does not allow us to send to them, resulting in the following error:
