Changes in Sales Orders in BC send email

Hi all,

Is there anyway through power automate where we could create a flow such as this,

TRIGGER - There is a change in customer's sales order, which is then reflected on BC through EDI which increases or decreases an items quantity, or potentially adds or deletes an item from their purchase order.

Then through power automate, the above trigger creates the ACTION of sending an email. This email in the subject or the top of the body will need to include, the date of delivery, as well as the PO number. Both of these fields feature in a BC sales order.

If possible, we would like the body to also include what items have increased or decreased to what quantity, and/or what items have been deleted (0) or added to what quantity. We don't need to know what the previous quantities were, essentially we just want to be aware of any changes to any items, and to what quantity.

    In general it seems achievable but the triggers need to be concise. If not you risk firing off the flow at times you don’t mean. I’d go for something purposeful. You could adapt one of the workflow templates you get in PA for BC by instantly approving. This works out well because “Releasing” documents in BC means you’re done editing. If you have this as a fake approval you force the user to send approval - which in this case becomes their “Release” button. The rest of your requests are then easy enough. Review the existing templates - flipping things around in there will give you what’s required.

    Hi Josh,

    Thank you for your response. I sort of get what you mean, especially firing off too many flows at once when not needed, but really struggling with the right workflow.

    I'll try and explain it a better, as I may have not made sense.

    We have a PO to be fulfilled and delivered for Saturday, it is currently Tuesday. Let's call the PO, PO123.

    Our customer may change this PO multiple times between now and Friday, which will then be reflected automatically in BC, as we have EDI set up.

    When these changes happen, we need to receive a notification, most likely through email stating that PO123 for customer ABC, which has a delivery date of 25/05/22 has been updated.

    We then in the body of this email need to see which items have been automatically changed in BC. We have dozens of items in a PO, so this could be a complete cancellation of a certain item, therefore for example Banana would then be (0) or (deleted). You could have apple, which has increased to (24), pear, which has decreased to (36) and finally grape, which has been added, and is (96).

    In the above example, we don't need to know what it was increased, decreased, etc. We just need to know, what on the PO has changed, and to what amount.
