CRM Contact Duplication

Hello,

What is the best way to prevent duplication of contacts in Outlook 2010 and CRM online 2013 when the computer crashes and I can not go in and deactivate the filters in Outlook on the crahed computer?

    Create a duplicate detection rule based on which fields you want to match in the crm that may help to avoid duplicate upto some extend but if you want to completely avoid duplicate your best option is creating custom realtime workflow or plugin to check duplicate on pre-create of the record.

    What I am looking for is a way to prevent the duplication of CRM contacts in Outlook once the crashed computer is re-imaged and Outlook and the CRM addin is reinstalled. It will probably pull down contacts and duplicate the ones already in Outlook.

    Prashant,

    Thanks for the reply, but I'm trying to not have to do the steps you suggested. I want to avoid the additional duplicate contacts that will be created when Outlook and CRM addin are reinstalled. I beleive that it will pull the CRM contacts down again when CRM addin is reinstalled. My understanding is that you need to uncheck the Outlook contacts filter and sync to remove the CRM contacts. In this case the PC has crashed and I can't do that.

    Hello Bman304,

    Once the Outlook is configured : Click File - Options - People - Names and Filing - Check the Box for Check for Duplicates wen saving new Contacts

    After this sync CRM online with Outlook

    The outlook will lookout for the duplicate Contacts

    Prashant,

    I know about that check box but I do not think you are correct on that. We are using CRM online and my understanding of how it interacts with Outlook and our Exchange server is that CRM does not know about the contacts in Exchange and Outlook which is why duplicates are created. That box is checked and users still get duplicates.

    Hi

    CRM outlook client stores GUID of contact in users mailbox, So if computer crash and you have to reinstall CRM client, on first sync it will check for this synced contacts.

    If you have any duplicate contacts you can find them by changing view in outlook

    Thanks for the reply. I do know about the link you had sent however it is sad that I would need to go in and do what the link says to do. I was looking for a way to prevent having to go in and clean things up.

    The best way to prevent the duplication is to enable the duplicate detection. once it is enabled then you can check the duplicates by the below mentioned steps.

    Avoiding duplicate contact records

    When you track contacts, CRM checks for duplicate records. CRM also checks for duplicates when you synchronize records manually or go online if you're been working offline.

    If CRM detects that a contact might be a potential duplicate, instead of saving the contact, CRM displays the Duplicates Detected dialog box.

    Here's what you need to do if this happens:

    1.

    In the Potential duplicate records list, double-click or tap the record.

    2.

    If your new or updated record is not a duplicate, to create the new record, choose Save Record.

    - OR -

    If your new or updated record is a duplicate, to cancel your changes, choose Cancel.

    3.

    If the duplicate-detection rule identified potential duplicate records in other record types, review records from each record type listed.
