Access to Vendor E-mail Options window

Hello,

A user can't access the Vendor Email Options window to change the Message ID for specific Vendors.  Does anybody know which security task needs to be selected?

Cards - Purchasing - Vendor - email button, opens Vendor E-mail Options window.

If I change her to a power user, she has access.  I've got to be missing something...I can't find any security task to grant access.

    Hello Lisa,

    The access to the Vendor Email Options would be contained within the same task for accessing the Vendor Maintenance window.  The task is CARD_0301.

    If this task is assigned to the user and they still are unable to access this window, you may need to drill back furhter on the task, CARD_0301 and confirm that the operation Vendor Maintenance is selected or check if any third-party products are installed that may be interfering with security to the window as well.

    Did you ever figure this out?  I can't find it either.  It's not in CARD_0301 as Travis suggested.

    If anyone else needs this, I added the following Task in order to access the Vendor Email Options window and change the Message ID.  You do not actually need all of these items.  However, in my case there was no harm in adding them all, so I didn't take the time to test which were absolutely mandatory.

    I also added these files for good measure, although they were not required in order to accomplish the stated objective.

    Davis suggested is correct. The internet information for the Vendors is coming under the task CARD_0301.

    1. Open Security Task window(MS Dyanmics GP--> Tools-->Setup-->System-->SecurityTask).

    2. Enter the Task ID CARD_0301 and click the print button right top of the window to print the Security Taks Setup Report the view the what all the windows and reports has assigned to this task id CARD_0301.

    3. If the window Internet Information not showing on the report, then give the access to the window as follows.

    4. Finally assign this task id CARD_0301 to the user's role id. Then assign the role id to user.

    Hi Soma,

    I, too, thought this would be the obvious answer until I realized that my users already had the access that you refer to.  However, they were not able to access the Vendor Email Options screen (Email button on the lower right of the Vendor Maintenance screen), and they were not able to add/edit Message ID's.  This is what sent me to this forum in the first place.

    Unless something has changed in GP2013 (which I have not yet tested), the access that you are suggesting does give the users access to the Internet Information screen within the Vendor card, but it does not give them access to the screens that Lisa and I mention above.

    I have done extensive testing of this issue, but only in GP2010.  If you are not experiencing this issue when testing, I would suspect that your users may be assigned to other Tasks/Roles that give them the Email Options and Message ID components.

    Kimberley thanks for the update.Your are correct, I was thinking on Vendor Internet Information window. Now I have tested and confirmed. Email Option window available is not available in the task id CARD_0301.

    Email Option window is coming under the task Default User. But, i don't think Email Option and Vendor Email Option both are same. Because, I have created a task id with only access to the vendor maintenance window and assigned it to a user. But this user able to access the Vendor Email Option window. So, I guess there is no separate task available for access Vendor Email Option window. This is coming under with Vendor Maintenance.

    Right, I would agree that there is no separate Email Option task that is specific to vendors, but this is the same situation with the Internet Information window.  There is only one task (under MD GP > Windows > Company).  However, that task just happens to be included in CARD_0301, whereas the Email Option task does not.  

    A user who only has access to Purchasing and not Sales, can still click on the drop-down within the Internet Information window to select Customers, and can edit the Internet Information for customers as well.  I guess it's just a matter of whether a user would know to try this, and/or if there is any harm in it.  In our case, we didn't care if they had this access or not, so we just made the EMAIL task that I created to all relevant roles (AR Clerk, AP Clerk, etc).

    Also note that if you only have the Email Option selected (as is the case with the Default User task), this will give you access to the Vendor Email Options screen, but it will not allow you to use the Message ID lookup in order to change the Message ID within that screen.

    The Vendor E-mail Option window is part of the Vendor Maintenance form. I think if we have access to the Vendor Maintenance form, we can also access to the Vendor E-mail option window.

    I have tried all the suggested replies and I still cannot access this Vendor email options window option.  The user has access to CARD_0301 which includes :  Vendor Maintenance, Internet Information.  still cannot access.

    AZlocki,

    It is not sufficient to use the predefined tasks within GP as they do not include the required items.  You must either add a task with new items, or add items to an existing task.  If the Email Options window is all you need, then you need to add the "Email Options" window within whatever task you choose.  In my example on April 1st, I added a new task called "EMAIL" to accomplish this.  I then added this task to the "AP CLERK" role.  It's generally considered good practice to create new tasks rather than editing existing tasks.  However, the other option is to simply add this window to the task "CARD_0301" as follows:

    Microsoft Dynamics GP > Tools > Setup > System > Security Task, Select "CARD_0301*", Product:  Microsoft Dynamics GP, Type:  Windows, Series:  Company.  Scroll down to "Email Options" and check it.  Save and close.  Have the user log out of GP and back in to ensure that the changes take effect.
