Correcting a Journal Entry Description after posting

Posted on by Microsoft Employee

Is there any way to correct the Journal entry description  for an entry made in GP that was posted. After the entries were posted, it was made aware that the incorrect description of the entry was made. Any way to fix this?

If you are at all concerned about what the Auditors would say (or your boss), then the approach laid out by Mark is the best way.   The Back Out and Correct method is the only user interface way.

If you are small enough organizations that auditors are not a concern, then the SQL approach will get you there.

Good Accounting Practice vs. IT can fix it.

For GL in specific I would advise going with database modifications as it is a matter of few tables that could be easily adjusted, besides the reconcile for financials adjusts the summaries based on the details and correct any modifications you do.

Although I am not quite into adjusting any records from SQL, I would still go with Ms. Leslie suggestion on adjusting the journal entry description from SQL.

I have been there before and was asked to correct a very simple "TYPO" in JE description, SQL was the solution with no negative ramifications.

On the other hand, I would never recommend any modifications on GL tables at all in other cases such as incorrect account index, amount .. etc

I'm afraid I would adjust it in SQL, I'm usually against doing such things, but the JE description is a pretty safe one IMHO.

GP 10, 2010 and 2013 offer a correction button on the Journal Entry Window. You can choose to back out an entry or backout and make a correcting entry. Backout reverses the initial problem JE with a reference back to the original. The correcting entry is a duplicate of the original that allows you to make changes. Change the date, accounts, amounts, whatever and repost.

Accounting rules strongly suggest that posted transactions are not adjusted.  You have two options:

    1.  A reversing entry followed by a new entry with the correct description\

    2.  If it is provided in any of the inquiries, the record notes of posted items can be changed.
