Office categories integration with Dynamics 365

Hello everyone,

I would like to know if the following scenario is possible using Power Automate and Dynamics 365 CRM.

Business Requirement

When I create a new calendar event in Outlook Mobile and assign a specific Outlook Category (Tag), I would like Power Automate to automatically create a corresponding Appointment record in Dynamics 365 CRM.

The user workflow should be very simple:

  1. Create an event in Outlook Mobile.
  2. Assign a category/tag.
  3. Save the event.

No manual action in Dynamics 365 should be required.


Additional Questions

  1. Can Power Automate read Outlook Categories from mobile-created calendar events?
  2. Is it possible to map Outlook categories directly to Dynamics 365 appointment types?
  3. Has anyone implemented a similar Outlook → Dynamics 365 CRM synchronization based on categories/tags?

    Any recommendations or best practices would be greatly appreciated.

    Yes, I would use this approach. It's a good low-friction user experience because the salesperson doesn't need to open Dynamics 365 at all.

    However, I would make three design decisions from the beginning:

    Use a dedicated category naming convention, e.g. CRM - Customer Meeting.
    Use event-created/modified handling so that category timing doesn't cause missed events.
    Store the Outlook event identifier on the Dynamics appointment so the flow can update an existing appointment instead of creating duplicates.

    The Outlook connector already exposes the category and event metadata needed for this design.

    don't rely on the category color. Treat the category's name as the integration contract. That makes the solution much more predictable across Outlook desktop, web, and mobile.
