How do you resolve this business process situation/issue in Navision 2018?

Hi Community,

I have a feedback from user that when it comes to inputting data in Navision, as NAV doesn't have a save button. The ok button automatically saves our work, whenever anyone comes into that module and accidentally mess it up, we cannot retrieve back the old version.

May I ask does this happens to you? how can we mitigate this situation?

I have many users who are not NAV savy and tends to be slow when it comes to computing, hence I wonder if there are any versioning/ auto backup a 2nd copy, so that we know when an edit was done to that SO or PO, we can rectify if there was an error.

Thank you!

In terms of key strokes it is worth explaining data is saved only after you leave the field. You can use the esc key to return the original data before you tab out the field. I would otherwise use order archiving. Turn it on in the sales & receivables/ purchase & payables setup pages. You can at least retrieve data from those. Archiving happens automatically at certain stages like I edit an order and then print a new order confirmation.

    Josh,

Adding to Josh's reply... NAV and BC do not have a SAVED button since as you leave a field it is auto-saved. As for Sales and Purchase Documents, I always turn on Archiving on the Sales and Receivable Setup page (same for Purchase and Payable Setup). Then you have a full audit trail of all Sales and Purchase Documents. Every updated is recorded as a new archive version, upon release. If you need to roll back you can copy an old archive version to a Sales document.

My customers like this feature to track User errors and who touch an area more permission restrictions need to be put in place.

    Hope this helps.

    Thanks,

    Steve

Hi, As the above two experts said, it is automatically saved in NAV. This action cannot be prohibited.

But if you want to monitor critical data, you can use the following two methods.

    ChangeLog:

    https://docs.microsoft.com/en-us/dynamics-nav-app/across-log-changes

    https://navhelp110.fenwickcloud.com.au/main.aspx?lang=en&content=tskEnableChangeLog.htm

    https://blog.dynamiccommunities.com/magazine/microsoft-dynamics-nav-change-log

    Workflow:

    https://docs.microsoft.com/en-us/dynamics-nav-app/across-how-to-create-workflows

    Hope this will help.

    Thanks.

    Hi Steve,

When you mentioned Archiving, do you mean this at the Sales and Receivable set up?

    Josh,

Yes. This Boolean. In future releases, especially when you upgrade to BC, you can define Archiving by document type.

    Thanks,

    Steve

I've setup Change Log on important fields in some Master and Document Tables and also added an action button to each page that filters to the specific table, record and user. The user can check right away to see if they made any changes inadvertently, or they can look at the complete change history for that particular record.
