Advanced find columns on activities and tracked emails

Posted on by Microsoft Employee

Hello

I am trying to run an advanced find on all activities in the system, we need to be able to see all the activities and who they are associated to.

I am able to add the regarding(contact) or regarding (organisation) if it was done this way but I need a column showing the contact name when the email is 'tracked' from outlook but because this does not populate the 'regarding' field I cannot pull the information in advanced find.

is there a way of showing this in advanced find so the data can be extracted to excel for analysis?

also when an activities is set regarding against a contact, I am unable to pull out the a field value from the related organisation, the advanced find column is blank?

any advice please

thanks

    Hi RJDP,

with the organization, the problem is that advanced find can only go down 1 level when adding columns (you can add columns from the main entity and from the lookup entities, but you can't go to the next level in that hierarchy)

As for the regarding.. Those contacts are, probably, in the "to"/"from" fields of the emails, for example, and this means they only show up in the activity party fields. Technically, you can have more than one contact per activity in that scenario, so I am not sure what the answer even should be.

From the advanced find standpoint, you can filter on the activity parties, but you can't add them as columns.

Out of the box, you may have a little better luck with reports - you can build a report on the activities AND activity parties, so you can show columns from both of those entities (group by activity, display activity party per line.. for example)

In general, this may require an SSRS report, though.
