Tracking emails to closed opportunity in Dynamics 365 Sales

Hello,

we are using Copilot for Sales for tracking emails and other activities to Dynamics 365, however not able to link the emails to Closed opportunities, these are not available in Search results when saving the emails to Dynamics. Is there any specific settings that I should change to enable it?

Thanks for any advice

There is not out of the box, this is by design.

    Hello JO-10030854-0,

You've encountered a common frustration with Copilot for Sales and its interaction with closed opportunities in Dynamics 365. The inability to link emails to closed opportunities is often due to a combination of design decisions and settings. Here's a breakdown of the likely causes and how to address them:

    Understanding the Behavior:
    • Closed Opportunity Limitations:
      • Dynamics 365 often restricts modifications to closed opportunities to preserve data integrity and prevent accidental changes to historical records.
      • This restriction can extend to linking activities like emails.
    • Copilot for Sales Design:
      • Copilot for Sales is designed to streamline sales activities, which are typically focused on open opportunities.
      • Its search and linking functionality might prioritize open opportunities for this reason.
    • Search Indexing:
      • The search functionality within Copilot for Sales relies on Dynamics 365's search indexing.
      • It's possible that closed opportunities are not indexed or are indexed with lower priority.
    • Security Roles:
      • While less likely, security roles could be restricting your ability to link emails to closed opportunities.

    Troubleshooting and Solutions:
    1. Re-open the Opportunity (Temporary Workaround):
      • If you absolutely need to link an email to a specific closed opportunity, you can temporarily re-open the opportunity.
      • Link the email using Copilot for Sales.
      • Then, close the opportunity again.
      • This is not a great long term solution, but will work in a pinch.
    2. Manual Linking from Dynamics 365:
      • Instead of using Copilot for Sales, try manually linking the email from within Dynamics 365.
      • Open the closed opportunity.
      • Navigate to the timeline.
      • Add an email activity.
      • This will bypass the Copilot for Sales search limitations.
      • This will allow you to link the email.
    3. Check Search Indexing Settings:
      • In Dynamics 365, go to Settings > Customizations > Customize the System.
      • Navigate to Entities > Opportunity.
      • Check the search indexing settings for the Opportunity entity.
      • Ensure that closed opportunities are included in the search index.
      • This is a less likely culprit, but should be verified.
    4. Review Security Roles:
      • Verify that your security roles grant you the necessary permissions to create and associate activities with closed opportunities.
      • While unlikely, there might be specific restrictions in place.
    5. Provide Feedback to Microsoft:
      • This is the most important step. Report the issue to Microsoft through the appropriate channels.
      • Use the Copilot for Sales feedback mechanism or the Dynamics 365 feedback portal.
      • Explain the need to link emails to closed opportunities for historical tracking and reporting.
      • The more users who report this issue, the greater the likelihood of Microsoft addressing it.
    6. Consider Alternative Tracking Methods:
      • If linking emails to closed opportunities is crucial for your reporting, consider alternative tracking methods.
      • For example, you could use custom fields or related entities to store relevant email information.

    Key Recommendations:
    • Provide feedback to Microsoft to advocate for improved Copilot for Sales functionality.
    • Use manual linking from Dynamics 365 as a workaround.
    • Check search indexing settings.
    • Consider using alternative tracking methods.
By following these steps, you can effectively address the issue and ensure that your email tracking meets your business needs.

thanks for comprehensive answer, really appreciated.

I have considered re-opening the opportunity as a workaround, but it is not preferred in long term, in fact I feel it is in contradiction to the the main purpose of mail tracking, i.e. to ease the work and info sharing between outlook and crm.

I'd rather go with manual tracking, but here I would need your help again. I have learnt that existing emails can be added to closed oppts, however these emails have to exist in CRM as an activity record already - if I understand properly, it means that such email had to be either created in CRM or saved to crm before. Is there any way how to add newly coming email to the closed oppt manually?

Regarding search indexing, I was not able to find any such settings under Opportunity entity, maybe you can navigate me with more details? I am using Solution Explorer and I can see only following :

    Thanks a lot,
    Jiri

Copilot for Sales can link emails to closed records, but only if those records are available through Dataverse Search. Copilot relies on the same search index used in Dynamics 365 Sales, so it won’t surface anything your search configuration filters out.

From what you described, Dataverse Search is enabled and Opportunities are included, which means the remaining blocker is usually the filter in the Quick Find View. Out of the box, this view only returns Opportunities where Status = Open, so closed Opportunities never get indexed and as a result, they never appear in Copilot for Sales.

Updating the Quick Find View to include closed statuses resolves this. I’ve tested this approach and it works on my side.

You can review Microsoft’s guidance on search configuration here: Search for a CRM record using Sales app | Microsoft Learn.
