Specific Scheduling Requirements - Schedule Board or not

Posted on by 130

Hi folks,

This may be rather a large post so please bear with me.

I'm looking at whether Dynamics could be used for a project we have coming up soon and I wanted to see if anyone could advise on using the Schedule Board or Calendar.

We're managing a set of Delegates and we need to be able to track their work activity over the year. Delegates can be seconded to an overseas office, working for another organisation, on holiday, on sick leave and possibly some other activities. Some of these activities are cost-recovered and some aren't (e.g. personal development is covered by our organisation). We record activity down to the day (not hour), which has caused me some issues with trying to test the Field Service.

The important thing is that we need to be able to provide a monthly report for each Delegate, giving a breakdown of the number of days they've been on sick leave, the number deployed and the number on training, etc. I can't find a way to do this using standard activities with a start and end date.

I guess this is roster management with reporting.

Does anyone have any suggestions or has had experience doing something similar? I'm guessing that the Field Service may be usable but perhaps the normal calendar would work?

Thank you kindly,

Matt

    Hi Matt

This to me sounds like a good fit for PSA(Project Services)

You will have all your staff who can do timesheets, Expenses against many projects and project tasks

Along with that you can hold a list of the skills they have (with a little customisation you can turn time training output into a skill)

    Hi Matt.

The Field Service in combination with (service) activities are a good starting point to solve your issue.

With help of activities you can add appointments or tasks or correspondences to your contacts. Maybe it could be a good idea to add a custom activity to your system that fulfills your requirements. It depends on the details!

You can add some hidden rollup fields on the contact... for holiday, for sick leave, trainings. etc. Every time one of the special activities are added to your contact, the hour/days will be added via rollup to the fields on the contact. Than you can easily use a SSRS to report the work activities monthly.

    Hope this helps you.

    Kind regards,

    Karsten
