Merging Multiple Records

I am trying to use the OOB functionality for merging records, but I'm trying to merge more than one, create a new record, and deactivates the other ones? I've been researching for hours and couldn't come up with anything. Any response is appreciated

    Hi BryceP,

    The OOB Merge button can support two records, can't merge multiple records at the same time, which is by-design.

    Duplicate merging in Dynamics 365 CRM is honestly one of the most requested features I've seen, and I ran into the exact same wall you're hitting. Spent way too much time digging through docs and forums before I finally found something that worked. Thank you, Leah Ju, for your suggestion.
    Going further, I tried Plauti's solution from the Microsoft marketplace first; it’s a good tool, but it didn't quite fit my needs either, especially when my data got complex.
    What actually helped me was a tool called DeDupeD. They offer a 15-day free trial, so I gave it a shot and it ended up checking all my boxes. What I really liked about it was that I could define which record becomes the master based on my own business logic, configure the merge rules to match my custom setup, and it even supports field-level merging and auto-merge. Exactly the kind of control I was looking for.

    Hi,

    OOB merge in Microsoft is typically designed for merging two records manually. For multiple duplicates, especially at scale, it can become difficult to manage manually.

    In one of my implementations, I handled this using Microsoft rather than manual merge. We first defined criteria to determine the master record (for example, the account with the highest number of related child records), then automatically merged the remaining duplicates into that master.

    For larger volumes, I also used a temporary intermediate entity to stage duplicate groups before processing. So if you’re dealing with many records, an automated approach like this may work better than OOB manual merge.
