Changing Email Passwords in CRM with Server Side Synchronization

Hello,

Our Customer has CRM 365 on premise and wants to connect to Exchange on premise. We want to do server side configuration for incoming and outgoing emails since email templates are being maintained inside CRM and business users need to send email directly from CRM and not from Outlook. To configure email of a user in CRM, we create a mailbox for each user and we provide the username and passwords of the user exchange account in the mailbox. Customer doesn't want to use 1 set of credentials to process all mailboxes so that option is done.

As per my understanding, if the exchange email password expires and is changed, it doesn’t get updated in CRM directly, rather it needs to be manually updated in CRM for that mailbox. Is this correct, or if the user resets password from Exchange, the password gets updated automatically in CRM?

    Hi Fahad,

    Yes your understanding is correct - once the password is change. it should be manually updated in CRM.  User will be able to see in the mailbox "Alerts" for this error.

    Its just a plain record in CRM so will not be updated.

    I have the same understanding. Is this documented somewhere? I checked the links below  but they don't talk about changing passwords manually on Password expiration:

    i think you can find some option here technet.microsoft.com/.../hh699786.aspx

    it mainly talks about email router but functionality remains the same :

    and this line " This enables the Email Router to monitor mailboxes by using each user's access credentials. When a user changes a domain password -- for example, when it expires -- the user must update the password in Microsoft Dynamics CRM so that the Email Router can continue to monitor the mailbox. This option is available for Exchange Server, Exchange Online and other POP3 compliant email servers."

    Hi Rawish,

    I understand this but it seems that Microsoft has deprecated Email Router. Please note that our customer is using Dynamics 365 CRM on-premise.

    Even if I use it, will it mean that the users will be able to update their passwords manually from Options and they don't need to go to System Administrator to get their passwords reset, right?

    You will have to manage this with the security privileges in "mailbox" entity.

    HI Fahad,

    There is no sychronization available between AD/Exchange and CRM mailbox information.

    When the user changes their password in AD, they will have to change their password in CRM as well in order to keep their Server Side Sync profile working.

    Your other option is of course to have a single service account with impersonation rights (in Exchange), and have that service account manage all the sending and receiving, but you mentioned your customer does not want that.

    Users will need access to update their mailbox record in order to change their password.

    Regarding the article about Email Router, it has been deprecated, but not in your release. You can still get support for it until you decide to move to Server Side Sync, which eventually should be inevitable.

    Thanks everyone, the simple answer is that user can go to the "Options" on the top right of the CRM web app (right beside his Avatar) Go to Email, Click on "View MailBox" and enter his user credentials.
