Authenticated web role not getting assigned to the sign-up user or new contact

(0) ShareShare

I have created many Web roles for a particular Portal and assigned "Authenticated web role" true for one Web role.

When I signed-up as an user on the portal, the   web role is not getting  assigned to the signed-up user.

Please help to fix this issue..

You will need to create a workflow or plugin to assign the web role on creation of a portal contact. The assignment to the authenticated role is not automated.

    Hi Craig,

    Thanks for the update.

I have created a workflow with the following details.

    1. Process Name: Update webrole

    2. Activate as : Process

    3. Entity: Contact

    4. Category: Workflow

    5. Disabled the option "Run this workflow in the background"

    6. Scope: Organization

    7. Start when: After Record is created

    8. Execute as: The user who made changes to the record

    9. Added a step -> Portals -> Assign Web Role

    10. Under Set properties assigned the required Web role for the field.

When I signed up from the portal, the required Web role  doesn't get  assigned for the contact.  Not sure what am i missing on this?

    Please advise.

Review the process session to see if it was in fact successful. You can find it when you open the workflow itself in the left column. If you did not set the "Automatically delete completed workflow jobs" you will see you completed jobs. Also as a simple troubleshooting step mark the workflow "as an on demand process" and simply run by selecting the workflow with any contact editor in the crm ui.

You must have something in the workflow misconfigured as I do not have any problems see my config below.

Here is a new contact after registering via the portal.

One thing I should clarify is that you do not need to be assigned to the Authenticated Users role as it is treated specially. The effect is all users will belong to this this group regardless of whether the contact is assigned to it or not. That is the reason behind the requirement/restriction to only have one Authenticated Users web role designated.

    Hi Craig,

Thankyou very much  for the update.

I  followed the same as you pointed out, it didn't work . Please refer the attached screenshots.

Just to re-phrase what we are trying to do  - We have a common portal and would like to have a web role assigned for the signed-up users, that is under "create contact "

You are going to have to look at the process sessions to see  if and why they are failing. Have you done that already? What are the details of the those logs?

    Hi Craig,

I have created another Process to assign web rolee and checked the Log. The status reason is still "Waiting" for 2 hours.

May I have your thoughts please?

Generally when WF get stuck in waiting it is attributed to a permissions problem. Seeing that this should be using the server service account that should not be an issue as it would have full permission. You may need to open ticket and have an engineer to review it.

Thanks for the update Craig. Created a ticket and the tech support fixed this issue.

Now it is working as expected.
