Update Accounts and Contacts Import

Dear Community, 

 

we are struggeling around on how to Import a larger amount of contacts and accounts into our existing Dynamics CRM online.

Is it possible with an import job to update existing accounts and contact records whilst creating new ones for not existing records within one import job?

    You need to export the records that you want to update.

    Hello Rob,

    This is very much possible but, as a starting off point you'd need to use an export from Dynamics, rather than starting with an import file of your own.

    On the Accounts entity, click 'Export to Excel' from the menu bar and choose the 'Static Worksheet'

    This will create an Excel sheet with 3 additional hidden columns (A, B, C) with will contain the metadata needed for Dynamics to reimport existing Accounts and detect changes.

    At the bottom of the Excel sheet, you can add on additional new Accounts, which will all be created automatically.

    The unique identifier on Dynamics will be used here to determine if the Account already exists (or not). Unfortunately, out-of-the-box, there is no other elegant way to Update and Create records in one go, they would have to happen separately. Duplicate Detection rules are only there to prevent duplicate creation, they don't help with determining existing account and updating them.

    Side note: There's some third-party tools out there that are much more flexible with updating existing records and creating them if they don't exist ("upserting") if you're really in a pinch.
