Import SOP Invoices and SOP Returns History

Hello All,

Do you know the options to import Sales Invoices and/or Sales Returns to History without touching Inventory as we are migrating from another ERP system to GP?

    As Mahmoud states, most sites when migrating will do open transactions only and at a balance level.

    In order to get the best information possible from the network, can you clarify what you are trying to achieve?

    Do you want sales history for customers as well?  And is the sales history at a line level - i.e. you want to see which items to sold to a customer when?

    You can't import directly to history unless you are using methods that fiddle around directly in the database.  I do not think I would be alone in stressing that this should NOT be done.  The reason for importing into work and posting is so that the system uses all the inbuilt business rules to validate all the data.

    Importing history can greatly increase the amount of time it takes to get the data right.  You have all the apply records to worry about as well.  Most people take the option of open remaining balances and then either retain their old system for enquiry or move the relevant data out to Excel or another small database for historical lookup information.

    When migrating from another ERP, usually customer opening balances are recorded roughly to the system through Receivable Management, which affects the customer balance without affecting Inventory Module.

    In your case, you might be looking to migrate your historical transactions into the new system, you can still follow the same method to import customer balances (Invoices and Returns) from Receivable Management.

    • Go to Transactions > Sales > Transaction Entry
    • Choose the document either as (Invoice) or (Return)
    • Get the invoices and return documents applied. You can apply an invoice to a credit memo, return, or cash receipt. Since the invoice is fully paid, fill in both the sales amount and cash amount on the document. Since you are migrating invoices and returns, cash-receipts shall be migrated as well to close the customer balance before moving these transaction to the history status.
    • Receivable documents do not automatically move to history when they are paid and applied, you need to move them manually to history through the Paid Transaction Removal utility (Microsoft Dynamics GP > Tools > Routines > Sales > Paid Transaction Removal)
