Hello!
1. Purchasing > Transactions > Returns Transaction Entry
2. Down Arrow and choose either Return or Return w/ credit.
3. Return = Use when replacing item and item was not matched to an invoice in POP
4. Return w/ Credit = Use when item (s) were matched to an invoice and you need a credit on Vendor
5. When using Return and Return w/ Credit it will create an entry that updates A/P
6. In the Return Transaction Entry screen after choosing Ret or Ret w/ Credit then allow the system to create the Return # then tab to Vendor Document number. You might use the original invoice you are trying to credit BUT add a -A or -1 to the original document number. Tab to Batch ID and create a batch so you can print an edit listing then tab or click into Vendor ID and pull in the original Vendor and tab to Date and enter either the original date UNLESS it goes back to a closed period.
In the detail section either pull up the PO # or tab to Item and enter the original item and tab to fill out quantity, cost, etc then the freight/discount below. Look at your distributions to see if they are populating properly.
Save the transaction and go to the Batch level (Return Batch), pull up your batch and print the edit lisiting. See if it is behaving as you expect. Post the batch and return to AP and look at the Vendor/Document.
7. You must apply the returns invoice to the original invoice.
Let me know if this helps....good luck!
It was done in purchase orders. I have never done a return against the invoice. How is this done?
1. Was this invoice done in Payables or Purchase Order?
2. If in Payables did you "Void Open Transaction" - that would reverse the whole document as well as create the appropriate G/L entry.
3. In POP you would do a return and apply against the invoice.
4. Possibly a simple Journal Entry would resolve but it is very important to return to the source when 'undoing' a transaction.
Thank you.
I posted this to an account which discounts, so when i go to pay the amount it discounts it. It should have gone to freight where there is no discount. I can't get rid of the 9.63 discount left. If i turn the discount off, it wants to pay the whole invoice. If i leave it on, it leaves the 9.63 balance left on account.
If you just posted to wrong GL account, how about enter one GL transaction to make GL adjustment.
Select Finacial > Transactions > General, use Transaction Date same as your previous GL transaction date.
I called the reversal the credit. I was trying different things to try to fix it but nothing worked. I can date this in April and just delete it and reenter it ? I was just scared to delete it since it was received and invoiced from a purchase order. I was just not sure on how it would work if i deleted it.
The best way to fix a posted transaction is to void it and re-enter. What do you mean you 'entered a reversal'?
