Incidents (cases) being seen by users when they shouldn't - contacts being shared

Hi,

I have the following problem and would really appreciate some help. The problem is related to contacts and incidents/cases and the scenario is explained below.

User A belongs to Business Unit A.
User B belongs to Business Unit B.

User A has contacts and incidents/cases which they own.
User B has contacts and incidents/cases which they own.

Both Users have the following security permissions:
Contact:  Create (Organisation), Read (Business unit), Write (BU), Delete (BU), Append (BU), Append to (BU), Assign (BU), Share (BU)

incident/case: Create (BU), Read (BU), Write (BU), Delete (BU), Append (BU), Append to (BU), Assign (BU), Share (BU)

User A cannot see incidents belonging to User B, and User B cannot see incidents belonging to User A.

When User A shares one of his contacts with User B (with read and append permissions), User B can then see the contact record.

The problem is that when User A shares one of his contacts, User B can then view everything related to that contact, i.e. all incidents can be seen by User B.

This is not what I want to happen.

I want User A to be able to share a contact, but not allow User B to view any related records to the contact (i.e. Incidents).

Is there a way to achieve this?

    Hi Niraj,

    You will have to go and change the role  settings in the service to "user" instead of BU.

    Not only for cases but for other related records like opportunity or activities.

    This way the user B will see only his activties with the record shared by User A.

    Hope this helps.

    Thanks for the response.

    The only issue with this is that other users in the same business unit cannot see their colleagues cases, which is required.

    I need CRM to allow users to share contacts with users in different business units, but not filter that sharing through to all related records (i.e. cases).

     How can I share a contact and only the contact details with another user, and not any related records to that contact.

     Any other ideas would be very helpful.

    You can try and just change the Append To permission to User level. This may have an affect as this refers to the associated records.

    No luck unfortunately.

    If user A who sits in Business unit A shares a contact with user B in business Unit B, user B can see everything related to that contact, i.e. cases.

    I only want User B to be able to see the contact record and nothing more. Is this actually possible?

    This is because exists a Cascading relationship between Account and Case entities.

    If an Account or Contact is shared to a user, it's related records having a type "parent" cascaded relationship, are automatically shared with the account or contact.

    You can also try this: imagine business unit A, with sub BU C and D, and users from BU C and D have only access to data in his own BU.

    If an account who is owned by business unit C, and a user from BU A creates a new case related to this account, this new case is automatically accessible to users in business unit C (who owns the Account record).

    Hope help people searching for this..
