Last Activity Date

Hi Guys,

Wondering what drives the last activity date field on the account level. I have noticed that some accounts show activity in the account but the last activity date does not populate with the correct date or remains blank. 

Just wondering what drives this field so i can advise my users how best to record their activity correctly and show that they are busy!!

    Hi,

    It should be a custom field, it can be a rollup field or a simple field and I am assuming there is some logic/work flow developed to update this field (in case it's is a simple date time field), You can look for the field type or any plugin/workflow which was used to update this field.

    This isn't a standard field, so it will depend on how it's been set up.

    Go to Settings > Customization > Customize the System. Expand Components > Entities > Account > Fields and select the field from the list.

    Next, check the "Field Type" column. If this says "Rollup", the field will be calculated automatically based on another query, which you can see/edit by double-clicking on the field and clicking the "Edit" button next to the "Field Type" setting. If it says "Simple" instead, there should be some other logic elsewhere to calculate it. If it's being done by a workflow you can click "More Actions" > "Show Dependencies" and see a list that will contain any workflows that update the field (alongside forms/views that show the field and a bunch of other stuff).

    If it is a "Simple" field and you don't see any workflows that update it, either it's being updated by a workflow in which case you'll have a bit more digging through your plugin source code to figure it out, or it's being updated by some external process, or it's not being updated!

    Hi Mark, thanks again for taking the time to respond to me. I think your answer has helped alot. A previous admin user built this system meaning I am struggling to find what is a system field or a created field. Having looked at the dependencies on this field I can see that phone call and tasks both add to this field using a "Process" component type. This feeds into my earlier research of seeing both phone calls and tasks adding to the "last activity field" but emails do not. I now need to find the list of processes and add emails to this while also adding it to the last activity field.
