Payroll Security - limit access to paycode info based on salary vs. hourly

Currently we have two GP companies setup to manage Payroll/HR. The first company is for hourly employees and the second company is for salary employees. There are GP users that work as payroll administrators in the Weekly GP company but cannot have access to salary information in the Salary GP company.

Our goal is to merge these two companies together when we upgrade to GP 2010. If we have one company I will need to allow some employees access to all hourly paycode information and deny them access to salary paycode info.

Is there any way to do this in GP or do I need a third party product for advanced payroll security?

KTL Solutions sells a dexterity-based solution which addresses this problem. The KTL Solutions Payroll Security product restricts access to Payroll and HR records by department, division, or position. So you could grant an employee access to all payroll information for every employee in the "LA" department and prevent access to payroll info for employees in all other departments. Here is the link to the product:

    Sandip,

Thanks for the suggestion. Do you think VBA is secure enough to protect unauthorized users from viewing payroll salary information? For this solution could a GP user maliciously disable the VBA code on their workstation and then view everyone’s salary in GP?

GP VBA customizations have to be deployed on every GP workstation that needs to run the VBA code and users need be a local Administrator in order to execute this code (otherwise the windows registry needs to be edited). I think VBA code is stored in the forms.dic and also locally in the GP program files directory as .vba files. Could a GP user maliciously delete these .vba files and change the path to the forms.dic to bypass the vba code?

The ideal solution for this would be to create a custom task under user level security and assign this task to a role. This task would grant permissions to process payroll transactions for all employees assigned to the paycode “hourly” and to deny access to processing payroll or viewing paycode details for employees assigned to the “salary” paycode.

    Greg,

I think you can achieve above task with vba coding,

    Create CustomTable with following field : EmployID,HourlyStatus (0=Hourly ,1=Salaried)

Create form using VBA Grid and filter PayCode base on Hourly and Salaried user status.

Disable lookbutton (hide) on each screen where ever user access "Paycode" lists and add custom "button" to popup form with VBA Grid which is filter.

In this way you can filter "salaried and hourly" paycodes  base on user status

whenever user is accessing Paycode screen check their status is it Hourly employee or Salaried and than hide respective field.

In this way you can "block" user to access certain information from "Paycode" screen.

Or Hide "First Next -Prvious-lastRecord" button, and allow only your VBA form to access the list of paycode.

What you say Greg is my logic is going to work ?

    Thanks

    Sandip

I hear this request time after time, year after year and no one has ever done anything about it.

You might talk to the guys at www.DynamicsGenie.com.  They did some sweet stuff with customer classes and item classes in SOP and might could do something simular with user classes and employee classes for you.
