INVTPCOST Entries in General Ledger

Greetings!

I'm assisting a client who's using BC Cloud. They are pushing data from BC General Ledger Entries into a data warehouse. Some of those entries have a source code of INVTPCOST.

What we found was entries imported for a specific date. But, afterwards, we could not find those entries in General Ledger Entries, at least, with the same dates.

Does anybody know if these types of entries do move around? I'm thinking we need to clear the data and then load from scratch.

Thank you

    Hello ,

Yes, this is expected behavior. G/L entries with source code INVTPCOST come from Adjust Cost – Item Entries, and they are not stable: BC can reverse and repost them with a new Posting Date when costs are recalculated. That’s why you may see them on one date and later not find them there—they weren’t deleted, they were re-posted. For data warehousing, this means G/L Entry is not immutable for inventory costing, and loading by Posting Date deltas will fail. Best practice is to sync by Entry No. or SystemModifiedAt, and expect updates/reposts. Clearing and reloading once won’t fix the root cause unless the ETL handles this behavior.

As far as I know, this isn't just about cost adjustments; posting invoices also generate these entries. To be on the safe side, I recommend re-importing.

Hope this can give you some hints.
    Thanks.

You are correct for General Ledger Entries , "Source code" is "INVTPCOST"

If you see that the entries are not present in few dates then there can be below possiblities .

    1) Inventory adjustment transactions recorded on other posting date
    or
    2) Inventory Setup is disabled for cost adjustment

Also you can verify in Value Entries with column "Cost Posted to GL"

    Hi,

What I understood from your question is that G/L entries once posted they disappear when you check back.

Well to assure you its not possible. BC once posts any G/L entry, never deletes it, unless you have some custom code who does that. So unless there is some customization, g/l entries once posted, can be reversed (By marking Reverse Boolean as true in the table) but it can not be deleted nor it posting date will be changed.

So what could've happened? May be you are transferring data by combining them for day, week or month etc. In that case it may happen that because the entries were reversed by user or due to some transaction exact same entries with opposite amounts get posted and it become 0.

What you can do is compare the entries in BC tables and data warehouse through using lookup on Entry No. field. It will help you identify if there are any differences. If you find that some entries are deleted or not in BC, lookup it in G/L register. If something does not add up, it must be some custom code which messed up those tables.

As regarding INVTPCOST source code, BC posts those entries to reflect changes in Inventory balances into Chart of Account, so do not worry about it, they do not get deleted nor they gets moved.

    Regards,
    Dhiren
