SharePoint Documents Missing from Navigation

I have enabled SharePoint integration on a CRM 2013 organization but I do not have Documents in the ribbon of entities that were configured for SharePoint (such as Lead & Account).

  • I did import the Crm List Component solution to SharePoint
  • I configured Document Management Settings in CRM
  • The target SharePoint site is listed as the Default Site in Active SharePoint Site
  • I have confirmed that the Libraries were successfully created in SharePoint
  • Documents is not displayed in the Ribbon of Account or Lead (both configured in Document Management Settings)
  • I have used the form editor to see if Documents could be added, but it is not listed in Available Relationships either

Has anyone else run into this? Any assistance is greatly appreciated.

The environment is CRM 2013 UR2 with SharePoint 2010.

Hi, did you add "Documents" to the navigation in custom entities main form page?

RE: SharePoint Documents Missing from Navigation

After trying some different things, we tried a simple iisreset during the lunch, and that worked for us, for now. The interesting thing is that several Other items in the contextual navigation menu was also missing, like Background jobs, Audits etc. However, after the iisreset they are all back. If this comes back we might have to check the traces to see if we can see something but it seems to be something that is related to the loading of the contextual navigation menu more than the SharePoint integration.

We also have this issue. Everything was working just fine and now isn't. Customer very unhappy about it so I really hope to fix it. I can accept giving users full access to a site, but not really to giving them rights in the configdb, that just seems very weird, but I can understand that it is ok in a demo Environment.

    Did SP1 UR2 help?

RE: SharePoint Documents Missing from Navigation

Still sounds exactly like the issue we were having. We tested with System Admin accounts on the CRM and SharePoint side. The issue, which appears to be fairly common, occurs when SharePoint is on-prem or online and you are using the list component. You may also see a symptom of the document integration wizard returning "List Components Not Found" error at random if you re-run it or add a new entity to the configuration. (This is not a consistent part of the issue.) We have not encountered the problem since updating the security role information on the SharePoint side, though again, this should not be necessary and certainly isn't by design. The only consistent solution, which is essentially giving users ownership rights to the site and configdb rights, is clearly not a recommended nor ideal configuration, indicating there is likely a bug regarding security roles and the list component integration. Since our environment is purely used for demos, we didn't pursue the issue further, but certainly would be interested in Microsoft's findings.

Our issue is with the on-premise systems which doesn't support server based sharepoint. (I wish it did as it is awesome) Also our issue is not a security role issue as it even happens for us System Admins with full access. I have a Microsoft case open and it has been confirmed that the issue is present in a mint install of CRM 2013. I have also been able to reproduce it in CRM 2015. The case has been escalated and is now waiting for development evaluation. It doesn't seem that there is a fix currently.

    Thanks,
    Andreas

Hopefully this article will help. Solution #5: social.technet.microsoft.com/.../6545.sharepoint-2013-troubleshooting-cannot-connect-to-the-configuration-database.aspx

Even if you're not getting errors, the accounts you're using to connect need to have sufficient permissions to the config db on SQL. The symptom we were attempting to address when stumbling upon this as 1/2 of the solution to our CRM issue was a failure to complete indexing as expected on the SharePoint side.

Please post if this resolves your issue. If it does, there is definitely an issue that MS needs to address on their end related to permissions, since you should not be required to give users Full Control for the integration to work properly, though that seems to be the case since this issue has started occurring.

I am not sure what you mean by "Make sure you check the site config db rights for your site administrator first." You mean making sure that my admin account has SQL DB owner rights on the SharePoint config DB?  So at this point something very strange is happening. The Documents link is now available in all entities except for Quotes (which is the one that is used the most of course). The config for it is clearly enabled. I will reboot the system tonight to see if this causes a refresh of quotes with all the changes I have made.

I agree. This isn't ideal. Make sure you check the site config db rights for your site administrator first. This was the key step in resolving the issue for us. Adding the users creating folders to owners did not completely solve the issue without that change. Since this appears to be an "undocumented feature" occurring sometime after 2013 was released, there may not be a golden arrow to resolve the issue. I consider the permissions change a Band-Aid, myself.

RE: SharePoint Documents Missing from Navigation

Ok I have adjusted the permissions. This seems like an OK workaround if it actually works however one thing to keep in mind with full control these users can do anything on that site including deleting the site. Just to make sure everybody is aware of this. Contribute gives you folder creation rights as well. We have been using Contribute for years with CRM 2011 and were using it fine with Contribute on 2013 but the link started to disappear randomly.
