Would like to purchase Business Central, confused about licensing/Use

Hello everyone,

After much trial and tribulation, I've come to decide that BC may be the best option for what we need. Here is what is currently in use:

Dynamics 365 Sales

Dynamics 365 Field Service

Dynamics 365 Inventory

Custom software for service

-----------------------------------------

Here is what we do: Installation of services for clients, booking, installs, monitoring, customer support and service calls.

Here is what we want: To do all of the above things in one environment(Business central)

But alas, I am confused when it comes to the licensing. Because it seems that premium is what we need in order to utilize the service calls and customer support functionality. But then there's also Business Central Team members and they can only do certain things. So what am I to buy? I need 7 people to access business central and use it for sales purposes, 2 for customer support and 10 for installs and service calls. But from what I'm reading, it's $128 PER license? As in per person??? And team members is $9 a license, but is very limited?

How do I utilize this platform correctly? The Microsoft page isn't very clear either. I assumed we'd just buy the license as other Microsoft products, and everyone can just login in and use it as they need it. But $128/person is incredibly expensive if that's the only way. 

I'd like 4 accounts really:

1) Sales

2) Techs

3) Accounting

4) Admin

    This is the first time I've heard of a D365 BC and D365 Sales bundle. I tried searching for info on this, but couldn't find any. NorthW - Are you aware of any documentation on this?

    If you want service, you're going to need the Premium license (at least one).  The rest will depend on the functional needs of each User.

    Microsoft's documentation does a good job of explaining the limitations and unrestricted tables available to the Team Member license.  It will either be a full (Premium) license or a Team Member license per User.

    I would encourage you to purchase 1 Premium and 1 Team Member.  Assign the Team Member and then try to step through the daily activities of the User.  IF they can process everything needed, you are all set.

    If the User needs to Post, aka record a transaction, any where in the system they are going to be a Full User.

    The ability to assign insert rights to certain tables are also there for the team members. But it does not cover all tables in the system.

    The Dynamics 365 Business Central Team Members license, not to be confused with Dynamics 365 Team

    Members license, grants a named user the following rights for their own use only (not for, or on behalf of,

    others):

    • Read data within Business Central

    • Update existing data and entries in Business Central, such as previously created customer, vendor, or

    item records. Entries are defined as specific accounting information that, may be updated, such as a

    due date on customer ledger entries.

    • Approve or reject tasks in all workflows assigned to that user, with the limit that approvals and

    rejections can only update data in records that Business Central Team Members can access.

    • Create, edit, and delete a sales or purchase quote

    • Create, edit, and delete personal information

    • Edit job time sheets for approval

    • Use the Dynamics 365 Power Apps/Power Automate use rights provided with a Dynamics 365 license

    • Business Central Team Members application module may be customized with maximum 15 additional

    tables (custom tables or standard Dataverse tables) available to the Business Central Team Members

    license.

    So working with service orders the team member will not be enough.

    Hello Inge!

    I did contact my partner and they weren't very clear on the whole limitations of team members vs full users. I'm confused because I thought I could assign permissions to users for things such as inset permissions and so forth, does that not apply to team members?

    You need to buy Business Central from a CSP partner. Because Microsoft do not sell Business Central directly. So you should contact a Business Central partner near you and have a discussion with them around what will be the best licensing option in your case.

    F.ex. there are some bundles between Business Central and sales that you might be able to utilize.  Team member licenses are mostly for people who mainly needs to read data from Business Central. They have limited insert and posting permissions.

    But have a meeting with a partner and they can give you advice that will make sure you follow the licensing guidelines.
