1099 K record for NJ state electronic file

Posted on by Microsoft Employee

We are being told by the state of NJ that we need to add a K Record to the electronic file in order to  submit the file electronically.  How do I go about adding the K Record?

Thanks Leah

RE: 1099 K record for NJ state electronic file

I have now found reference to the K record.  It is used only when using the Combined Federal/State filing program.

Sec. 5 State Totals “K” Record

    General Field Description

The State Totals “K” Record is a summary for a given payer and a given state in the Refer to Part A, Sec. 11, Combined Federal/State

Filing Program used only when state reporting approval has been granted.

Submit a separate “K” Record for each state being reported. The “K” Record is a fixed length of 750 positions. The control total fields

are each 18 positions in length.

The “K” Record contains the total

Sec. 11 Combined Federal/State Filing Program

    .01 General

The Combined Federal/State Filing Program (CF/SF) was established to simplify information returns filing for payers. Through CF/SF,

the IRS electronically forwards information returns (original and corrected) to participating states.

I don't find that this is required by the IRS but if it is included in the file, then certain fields are required.

I do understand that the specs for this option were reviewed some years ago when it first came out but due to the differences in state requirements was not implemented.

The "K" record is a line item on the electronic file sent to the IRS when filling the 1099 electronically.

    Leah,

I was talking  about W2s and I see that your post title concerns 1099s.

We only offer the 1099 Misc format.

By the way, what is the K record you are referring to?

According to the IRS publication 1220 – the K record is required by the IRS and not NJ.  Do you have any suggestions on how to get this record in my electronic file since it is part of the federal requirement.

    Thanks

    Leah

    Hi Leah,

SL doesn't support the state mag media format.  If it matches the federal, then great, as we include a state record.  But if it is a different format,   we don't make the state record follow the state requirements.

Since the programs won't do anything for the state record, you would have to manually create the needed K record.  Maybe someone from your state will replay  with what they have done to meet this requirement.
