Email for GP 2013 - Sending From Different Email Accounts

Hello,

I have GP 2013 Configured to Email.    We have been emailing Sales Invoices for a while now.

Now it is time to set up the Emailing for EFT Remittances.

This question specifically refers to having emails come from a different account than the user logged in.  A Mailbox that the user has access to where they can manually pick the "From Address".

For example, my email might be kevin@domain.com, I have access to several mailboxes in Outlook; one of which is called AP@domain.com.  I am allowed to mail on behalf of that account through Outlook, but I can't find anywhere that I can set this up in GP to use this account.  Yes, there are options about "Allow Changing Reply to Address At Entry" and even "Have Replied Sent to" but I have not found that those options actually do anything.  In the F1 help screen, it seems to imply it is for Purchase Order documents(?)  Even where I have these fields set up as  AP@domain.com, whenever I email, it still comes from kevin@domain.com.  This presents a problem because we have several companies with several email addresses and AP for one Company isn't the same as AP for another company; yet the same person could process both (we are a rather large conglomerate of companies in the same line of business but have centralized processing of things).  We do not want the user that is processing the Payments to have their email address as the one being sent from (absolutely can not have this), because that would say another company.  Plus, he just processes payments, other teams handle inquiries and monitor that mailbox

I should note that we are using Mekorma MICR for checks and EFT Remittances, but I believe that this doesn't make a difference.  It just means I don't have to make Word templates to email pdf.  It uses my Mekorma Format and converts to pdf.

I am getting emails, everything is working, I just need to be able to have the emails come from a different account.  Preferable on a per-company basis.

Now, we have another version of GP, version 10.0, with Forms Printer and that was a very easy setup.  There is literally a field "From Email Address."  If the user who tries to email Invoices does not have access to mail on behalf of that mailbox you set up, then you get errors and it obviously doesn't send.  But it works great. 

Has anyone done this?

    We were able to test with a successful result.  Here is what we did in our environment:
    Setup an Exchange mailbox and grant the Windows login with full permissions to the mailbox which will be used for the EFT emails.
    Create a new Outlook Profile via Control Panel and configure with the new EFT email address that was created and select "prompt for profile to be used."  NOTE:  If you're hosting Dynamics in Citrix, the profile will need to be created on the server hosting Outlook (which should be on the same server hosting Dynamics).  This may require a Systems Administrator to assist as most users do not have the ability to create mail profiles on a server. 

    In our situation, the Dynamics user uses Mekorma for approvals which use Outlook locally on the server.  For this reason, the user will have to login to Citrix and select their typical user profile to do their Mekroma approvals and when they are ready to do the EFT transactions they will exit Dynamics and get back in in order to be able to select the new EFT email profile.  This is due to Windows/Citrix in our environment

    We had this same issue.  It has to do with the Outlook profile associated with the logged-in (Windows) user.  We are still testing, but it looks like we may be successful with creating a new Outlook profile for the "generic email account" on the Citrix server and set the option to Prompt for Outlook profile.  We tried it once and got an error when we processed the EFT transaction.  However, when we tried sending an email as the "generic email account" as the Windows user outside of Dynamics, we received a "send on behalf" permission error and believe that was the issue.  So, now that we can successfully send an email as the "generic email account" from Outlook outside of Dynamics, we will try it again in Dynamics when we have another EFT transaction.  I'm betting this will work.  If it does, then I will post exactly what we did to make it work.

    We are using multiple email A/c to send emails from GP. Whereas User has logged with his email id.

    I like this idea, only problem is that they generally don't give us the credentials of the underlying domain account for these generic mailboxes.  I was also thinking of getting the credentials, having this person log into their terminal server session as that account, and then into GP as their normal GP account.  Seems like that might be a workaround for getting the email to come out correctly from the correct email address.  However, that presents other problems for us.  We are pretty locked down for security, like the MICR Printer is locked down to certain domain users, the file Share where EFT files get generated from GP is locked down to certain domain users, now we would have to add this generic account, an account where you can't demonstrate who is "actually" logged in like when a user logs in as themselves.

    Hi,

    I would like to share our problem that seems similar to Kevin and what we've tried so far.

    Our Great Plains system is installed on a dedicated server.This server is provided with Outlook, and we use a " server type " Exchange for emails. We wish to convey our documents from a general inbox to witch different users have access. All should transmit their documents from the same address. Regardless of the user configured on the server in Outlook GP , email is always transmitted from the user's email address and not a generic address. We also try to set the generic box as the default on the computer of the user. Here again , same result. The email is sent from the email address of the user.

    If you are/or can use the Exchange email integration you can log in with a different email account to send the remittances to the one you're using for POs.

    If u can access other mail boxes thru that setup then I believe you dont have any issues adding AP account as additional account directly. Only thing is It's gonna occupy some more spaces for ost file but hope that shouldnt be a big deal.   Otherwise I dont think there is another way. May be someone else can shed some light on this.

    Problem is that I don't have 2 "Accounts" where I can pick one default from.  I have one Outlook account with access to other Mailboxes.

    So on Outlook Settings - Account Settings, there is one account (kevin@domain.com)

    I can click Change, More Settings, Advanced Tab, this is where we add different Mailboxes   that we have access to (like AP@domain.com).

    To use different From address, I believe you need to make that as a default account in your Outlook account settings.
