Hi All,

I'm wondering if anyone is aware of a tool that will check security roles in Dynamics CRM and suggest the correct CRM Online license that a user with that role should have?

Or is it a case of manually reviewing the permissions each role has and making a decision based on that?

As in do you review Appendix A in the licensing document, http://bit.ly/1Y1dTtY, and say something like "OK, my security role needs the capability to create Opportunity records, therefore users with this role will need a Professional license" ...and so on!?

    Actually There is no such tool to recommend the License type, the document link you provided is the closest thing to an official recommendation for user licence, Soit is definitely a case of establishing the license requirements during analysis & design, and the licence comparison matrix is the most useful tool, here is a table i put together that lists the use rights corresponding to the licenece i did this about a year ago so may not be 100% but i hope it helps you;

    Hi Raz,

    Thanks for the response, it's a pity as it can be a bit confusing especially when inheriting a system and trying to figure out the security model!

    This leads me to 3 more specific questions.

    1. I have a role that has the following access to the Queue entity:

    • Create, Write, Delete - User
    • Read, Append, Append To - Organisation
    Professional Basic  Essential
    Use a queue item Full Access Limited Custom Entities Only
    Define and configure queues Full Access - -

    I would presume users with these privileges would need a Professional License, is that the case?

    2. I have a role that has the following Miscellaneous Privilege only:

    • Add Reporting Services Reports - Organisation
    Professional Basic Essential
    Manage user reports Full Access Full Access -
    Run reports Full Access Full Access -
    Create, update and customise reports Full Access Full Access -
    System reports Full Access - -

     

    Would this be a basic or professional license?

    3. If a description says Limited, like in example 1 above for "Use a queue item", is there a way for us to find out what these limitations are?

    It would be nice if Microsoft released guidance which tied directly to the privileges we set in Dynamics CRM Security Roles as it all seems a bit vague.
