GP 2010 and very large invoices

Posted on by 75,730

I was just asked to review an issue with large sales invoices. The client imports invoices from an Excel spreadsheet. They have a custom written applicaiton that appears to use eConnect to bring the invoices into GP. Some of these invoices are very large. As a matter of fact the one with which they were having trouble had 582 lines on it. I watched as she pulled up the invoice and then clicked the Save button. 45 minutes later it was completed and she could move onto the next invoice. What could GP be doing on each line when a user clicks the Save button that would take that long? They do use Ethotect software for commissions and when I watched using SQL Profiler I could see it being called. However, I disabled that add-on and it only take a couple of minutes less. I am wondering if there may be something with the customization or perhaps I need to re-write the customization to have no more than 100 lines per invoice. Has anyone else seen this issue with invoices with these many lines?

I ran a test on an invoice that saves instantly and this one that does not.  The one that runs quikly has only a fraction of the calls to stored procedures as opposed to the one that runs slowly. There are stored procedures with the letter ETI in them. Now, Ethotect is installed on this instance but all invoices are subject to commissions so why this one invoices is invoking all these sp's is a mystery. I am going to submit a case to Ethotect.

    Hi Richard,

I just did a test with a 1,000 line invoice with line item sales taxes, and when I click on Save, it saves instantly.

Is the client using Avatax or a 3rd party tax engine?

Perhaps trace a save of the invoice that saves quickly, then trace a save of the invoice that takes forever to save and compare the two?

My bet is that something is iterating through the invoice lines.  I can't imagine indexes being the issue on the Work tables.

    Thanks,

I did find one difference between the invoices that saved quickly and the ones that were slow to save. The ones that saved quickly did not have any shipping method defined whereas the slow invoices had a shipping method defined. I am wondering if the extra time is due to the calculation of sales tax?

Thanks for checking Steve. I have other large invoices where this issue does not happen. Perhaps it is time to rebuild indexes???

    Hi Richard,

I used my GP Batch Load Test Import utility to import a basic test invoice with 600, 800, and 1,000 lines into the Fabrikam company, with no third party modules.  The invoices open very quickly, and if I edit a few lines and then click on Save, the invoice is saved virtually instantly.

As others have noted, it sounds like there is something else going on in their environment during the Save.

    Thanks,

Thanks, would love to hear what caused the issue, and the resolution.

Joshua, I have mirrored their environment on a test image in our office. I am going to ask for their customization plus the import file they just used and put it through it paces in our office. I will let you know what I find.

    Hi Richard,

This is what I would do to test if it is GP or the software: create a quick EConnect integration with Integration Manager, and push the large invoice through using a csv file. This should tell you if the problem is GP, SQL, or their software. EConnect should be going straight to SQL and bypass any 3rd party mods anyway. We use Avatax with the UI triggers, so when we process SOP batches in EConnect, we have to manually calculate the batches with a different utility, but the difference of integration times is 30 seconds vs 30 min.

The only other thing I can think of is if they modified the stored procs in GP or added triggers or something else, but I assume you would've seen that in Profiler.

    Thanks,

    Joshua Pelkola

Custom software pieces are often the issue.  I know that the IM can import tons of lines in a few minutes properly.  You might look at replacing the custom code with SmartConnect from eOne.  It works fast and, when the next GP update comes along, they will have updated code ready.

Joshua, I am only guessing that they are using eConnect. I do not have the source code and I do see eConnect installed on the computer. Given that the order imports in just seconds I doubt they are doing any checking.  I watched what she does and after the import she pulls up the order and goes line by line looking for negative quantities available. When she finds one she deletes the line.
