How to confirm session registration after being waitlisted

We are setting up an event where guests can decide their own sessions they would like to attend. Some of these sessions have a maximum capacity. If this capacity is reached the next person will be waitlisted. It could be that after being waitlisted a spot becomes available, due to someone cancelling his or her registration. We automatically assign the oldest waitlisted person the new available spot.

It is unclear now however how to go about confirming that this has happened and that the person has been registered to the session. We have a customer journey that sends a confirmation after the first event + session registrations. Assigning a new available spot can however happen any time up until the event and sessions take place. I would like to know how something like this can be handled?

    The documentation also describes how the waitlist works in the section - Set and use waitlists for events (Dynamics 365 Marketing) | Microsoft Docs.

     

    Perhaps you could describe your problem more clearly, for example by providing a more specific example or some screenshots.

    The problem statement is described in the original question. The example is as follows:

    - Session X has 10 spots which all are booked and a waitlist is active now

    - Person A registers for session X for which the full capacity has already been reached

    - Person A is put on the waitlist for session X

    - Person B cancels his registration for session X

    - Person A automatically gets registered for session X

    Now the question is how can you let person A know that he has been registered for session X. If I were to make a segment for each individual session everyone would get an email for each session which would not be acceptable. They now get an email after an event registration and we would want to only send an additional email in a case as described above.

    Hi,

    Are you just trying to send an email notification for contacts that didn't register at first and then get registered from the waitlist?

     

    You can try to achieve it with a Flow.

    Since the contacts who have registered will be removed from waitlist,

    the flow can be triggered when the records of waitlist are deleted.

    Get the data of the record, the related contact and session.

    Send the email notification with the data.

    Or you can just set the Automatically register as No and send the invitation email to the contacts to let them register the session manually.

    Create a segment that finds waitlisted contacts to invite

    Create a customer journey to send messages or invitations to waitlisted contacts
