Secondary Inventory Item Number - Where can I store this thing?

We have a secondary item number associated with each item in our inventory master.  There is a 1:1 relationship to the item.  It will frequently be used to lookup items in inventory instead of the item number.  The secondary item number can be as big as 25 characters.  We cannot give up the item description field.  It is too large for the short description and generic description.  It needs to be EASY for users to utilize when searching for a part.  I have looked into the Manufacturer's part number field and this is a possibility but I was hoping to be able to use the field in the Advanced Lookup (Admin > Company > Advanced Lookups Setup) for ease of use.  The Manufacturer's part number does not appear here as an option.

Any suggestions?

    If you look in the Advanced Lookup window, they do call it 'Alternate Item'.

    I am not sure why I started calling the Alternate Item field that - it is the Substitute Item field on the Item Maintenance card I was talking about.

    We did this (sort of) for a client that needed more detail in finding the item number of over 10,000 SKU's

    I have found the warehouse feature works so you never really see them, but the user can enter either number and find the 'real' item number pretty fast.

    Do you mean the Substitute Item Number? I thought about this first, but didn't like the idea of needing to create an entire inventory list to mirror the one you've got. I like the idea of a separate site to 'store' them. Funny thing, the Substitute Item Number does show up with the word 'Alternate' in the Advanced Lookup setup. Wonder why they used different names?

    This is actually a very viable answer. The more I look at it, the more I like it. So few people utilize that function anyway. I guess it depends on how many SKUs a company is likely to add. You can use that field in the Advanced Lookup, and you could use the 'Copy' function to easily create the Alternate item number. Cool.

    Hi,

    There's nothing to install to get the Tax Commodity Code, you just need to check a box in the Company Setup Options window. You need to check the 'Enable Intrastat Tracking'. That will also automatically check the box 'Enable EU Transaction Tracking'.

    One other option might be to consider using the Alternate Item Number - this field is used to suggest Replacement Parts for an item.  If the Secondary Number is only used in reference, it would have a ZERO inventory - you could even hold the items in a different warehouse ID.

    Basically you would create a phantom item list.

    Not sure if this is what you are looking for, but the field is searchable.

    Thanks Leslie!  I will definitely look into using this field.  I assume VAT will have to be installed for the field to show up because I don't see it on the item card?

    Thanks Mahmoud.  While the Item Code field will not meet the current requirements due to field length, it is a great find and one that I will certainly put to use at some point in the future.  Thanks for your response!

    Hi,

    This is not the 'best' answer, but it is an answer I have used it to keep track of manufacturers. You would be hijacking a field intended for something else, but if you don't have any VAT reporting requirements, it could work. The field I speak of is the Tax Commodity Code. It's 30 characters and you can use it as an Advanced Lookup. The rub is that it's a validated field.

    Being a validated field means there exists a table holding all the possible values - VAT10000. There's a setup window that just defines the label. I use a before modal dialog box with a tiny bit of VBA to automatically add the Code description and close the window. You can get started by importing all of your values into the VAT10000 table. Other than needing to deal with the VAT10000 table, I think it's a good answer for you.

    Hello,

    Leslie Vail has once revealed one essential point about the inventory item coding, and the urgent need for extra fields to store such details. The field is not quite common since it is not visible, it is the "Item Code", you may check this article for further details Inventory Item Code Unfortunately, it is a 15 characters field.

    Another option is to use modifier with VBA to add additional field and link it on the SQL level in a separate table to the item number in a one to one relationship.
