Noob question re-activities dashboard

Posted on by 155

Hi All,

Self taught novice here, looking for some advice regarding tasks that are shared or assigned to a team.

Looking to make a view such as "My activities" but will show things on the wall that were both created by the user, and that also have the team they are associated to show up as well.

Example:

Manager assigns something to "Team A"

User from Team A logs in for the day looks at dashboard and see's a single dash which shows both "My Activities" content and content assigned or shared with "Team A"

I'm sure this is easy stuff for you guys so any help would be great thank you!

    RE: Noob question re-activities dashboard

    Hi Eturyu,

I just struggled through this myself! I made a Dashboard that has views for my tasks and team tasks side-by-side.

You need to make a custom view for the Team tasks (the My Tasks is already a view). Then you can make the Dashboard.

    1. Making the view: You go into Settings tab -> customizations -> customize the system -> Expand the Entities carrot -> Expand the Tasks carrot -> choose Views -> either make a new one, or (I suggest), open the My Tasks view -> On the top banner click "Save As" and name it Team Tasks or whathaveyou. This makes a copy. Now you can "edit filter criteria" on your new view and tell Dynamics to show all tasks in Team A. Save. Click "publish all customizations" in the Custumizations window. Your view will now be listed when you go make the Custom Dashboard.

    2. Make the Dashboard: You go Sales -> Dashboards -> click New on the left of the top ribbon -> select the layout -> choose the list option in each section of that layout -> choose the Entity (Tasks) separately My tasks and Team tasks. Save and Publish (always click both save then publish whenever you're working in Dynamics) and you should be able to see this on your dashboards dropdown when you enter Dynamics Online.

I hope this helps! Let me know if I can clarify.

    RE: Noob question re-activities dashboard

    Hi Eturyu,

Team is an "extensions" and it is used to "extend" user privileges/visibility over records owned by others.

So, if user B is a member of team A, it means B can view (according to his role or team role) records owned by Team A.

Assigning a record to Team A is as you assing record to user B.

This way you could extends privileges over more members, which are virtually devoid of needed privileges to manage one or more entities.

So, the scenario you illustrated is right.

    Hope it helps.
