Slow mails in CRM

Hello evryone,
 
I would just like to hear everyones expirence advice with using the integrated e-mail in CRM.
At our company we are still using Outlok as the base for mailing but would like to jump directly into using just CRM, 
but here we are faced with one major problem which is that the e-mail slow down the more trafic there is and the bigger the mails are.
We are talking delays of 15 min -30 min.
 
A few of us here think that the problem lise that the sales e-mail is not an actual e-mail account but a mailing group(with a lot of members).
As such whenever a client send us a file this get multiplied due to it being sent to evryone in the goup the same goes for outgoing messages,
since we need to keep the sales group in copy all the time so we can jump between cases.
 
Has anyone had any similar expierences issues?
Are we on the right track in regards to what is causing these delays etc.

    Hi Partner,
    Are you saying that there is a delay in receiving emails in CRM?
    Based on this documentation:
    If the mailbox is enabled for appointments, contacts, and tasks and incoming email as well, the postpone time will be from 5 to 15 minutes.
