Hi everyone,

few days ago I have created a workflow process of email notification for Record is assignet at Lead, Opportunity and Accoutn entity. Afterwards I find out that in those entities Activity doest´ work. So I start to look for a mistake and find out that I can create Activity only before I assign the entity but after assigning the Activity disaperars and you can´t create another. Even after deactivation of the process I can´t create activity at reassign lead or opportunity or accout. Any ideas how to make aktivity and workflow process  work together?

This is image of the workflow:

Thanks for advice.

    Hi Vaclav,

when you wrote that you can't create activities, did you mean there are some errors? You should be able to create emails at any time.

If you mean that some users can't see those activities, then, maybe, it's more about their security roles. That workflow is, likely, running under your account, so you might be the owner of those activities.. if you go to the activities view and check emails (look under all existing email views just in case) - don't you see them there?

The reason for email not being sent would be that the workflow is failing. The issue seems that the Logged In user doesn’t have The Privilege to send an Email on behalf of the Other User.

So, to confirm the issue, can you please let me know what you are setting in the “From” party of the Email? Are your setting either the Owner of the Lead Or any hardcoded User?

If this answered your question, please make sure to Mark this as an Answer.

    Thanks!

    Hello Alex,

I have checked some things you mentioned (security roles, Email on behalf of the Other User,...)  and I can create all activities but I can´t see them in specific record in a social pane. Also there is no error. I believe I did not make myself clear about the issue. Let me try it with specific example.

    Example:

I have create a Lead. Inside this Lead I had created some posts, notes and activities in a social pane. When I assign this record to User A and the workflow for email notification is at the same time in a Draft state, the User A can see all posts, notes and activities and can create activities in a social pane. But when the workflow is in Active state and I assign a Lead to User A situation is different. User A can see posts and notes in a social pane but not activities + when I try to create new activity in assign Lead (assigned when workflow is active) in a social pane is no sign of this activity (I can find the activity in Activity entity) and even after I deactivate the workflow I cannot make the activity vissible in social pane.

So my conclusion is that there is some error with the workflow. And my question is: What I have to do to make activity and workflow to work together. It would be really great to have available both functions.

    Any advice?

    Hi Vaclav,

please have a look at Inogic's answer. That might be the reason it's not working.

Also, are there any workflow errors in the system jobs?

If none of that.. Could you clarify something:

    Scenario a:

    - Workflow is in draft state, Lead is assigned to user A

    - User A can create emails and see them under the activities tab

    Scenario b:

    - Workflow is in active state, Lead is assigned to user A

    - User A can create emails but he/she cannot see those activities under the activities tab

Is this how it is? Is it a problem with that particular email you are sending from the workflow, or is it a problem with all activities somehow?

    Hi,

I checked Inogic´s answer again and it can´t help me.

There is no problem with email sent from the workflow problem is only with activity tab.

Both scenarios you wrote are absolutely correct.

Well, out of ideas for now..

When you have a lead with activities, and when you assign it to user A. They don't see activities.. What happens if you deactivate the workflow (should not be related at all, but still)? And what happens if you delete that email which was sent from the workflow (again, should not be related.. but I'm wondering if that email somehow breaks activities view)?

When I deactivate the workflow nothings happends in meaning that I still can´t create activities, like the reccord has been corrupted. Once you use the workflow, activity shall be not seen, ever. :D Same thing with the email. I delete the email and activity isn´t there.
