Missing Header Information

Our customer is using GP 2010, and recently they have facing the issue missing Header information quite often. The user is always random, and we cannot duplicate the issue on purposely. There are cases in SOP and POP.

SOP case happened when one of their users transferred a Sales Order to Invoice. Transaction data was transfer to invoice; however, most of the header information was missing. Inventory was allocated by the invoice, but unable to unallocated the inventory because user was not able to access the SO because of the error, document was posted. First of all, user does not access to post invoice, and I don't think document should not be posted just being transfer. When we checked the inquiry, this invoice was still unposted status, not posted.

POP case happened after user saved the document. We don't know exactly why this happened. However, when the user wanted to reopen this PO, they couldn't find it no where even on inquiry. When we checked the database, the PO was exist just with PO number with no other information. Also, only "poweruser" could access to this PO on the Purchase Order Entry window.

    That's all standard product - so no custom or third party stuff that could be interfering with the process. good to rule it out as a cause though.

    So - If I was to bet - I would say its a network issue.

    Thank you for your comments. We'll definitely monitor the network traffic.

    The issue was mainly happened on PO. I don't see many cases happened on SO. However, they sometimes have posting interruptions.

    We have Extender installed, but it is for the additional notes.

    Very unlikely its user security. Certainly not the security settings you set through the GP interface - although its possible someone messed with the settings through SQL.

    It is symptomatic of an issue during the posting process - something interrupted it. The fact that it is in both Purchasing and Sales indicates that it is not a module specific issue [such as a customised process affecting sales posting]. Indications are that it is a system level issue - and the most likely candidate is a network disconnect / dropped package or some other problem.

    One question - does it happen on every document? If not, then its a further indication that its a network issue. If it happens on every document, then a SQL trace will help - anything that you can get to repeat, can be traced, and the SQL trace may point you in a direction.

    To rule out any third party or custom developments - could you post the contents of your Dynamics.set file here?

    To start, I would run the Grant.sql against all databases [available in the root GP application folder under Utils/SQL/...] - just to rule out any issues with table rights for users.

    You should also get someone to monitor your network traffic for dropped connections. This could be a longer term debugging exercise, as you wait for a failure. Note that network issues could be happening frequently but only cause visible issues during the posting process.

    At the end of the day - you have data corruption, and this needs to be cleaned up. I would try and find the cause first, and then start cleaning up the tables. You may be faced with deleting corrupt transactions and re-entering.

    Hi Mahmoud,

    Actually, we set the user security only to access PO type "STANDARD." I think that's the reason why only sa can open the PO. For SO case, no one even sa couldn't access the transaction because the transaction was locked.

    I'm wondering if those corrupted data was caused by the user security. What do you think?

    Hi Ian,

    All users access GP on their desktops. We installed GP client.

    Also, they enter transactions manually, no integration. We don't think there was any power outage or network issues during that time.

    We set the SQL maintenance, but please let me know if you can think about other expected causes.

    I would have a question regarding the point that only power user could see the header !

    supposing you would use the same workstation with the 'sa' or 'DYNSA' account to enter and post one an SOP or POP document, would you still encounter the same issue?

    Hi, you are getting corrupt data.

    How are users accessing GP - on their desktops or over Citrix or RDP?

    Are all documents manually entered or are there any custom integrations happening?

    Do you experience power outages / network issues?

    Might be worth having your Network Administrator monitor network traffic / interruptions etc.
