Inventory registration

Hi all,

I have a case, where IAJ ( item arrival journal) was created and posted for 500 nos of item A.

Which leave the 500 nos now in REGISTERED stage and 500 nos as Physical Inventory.

The user forgets to post the product receipt for the 500 nos.

200 nos from this are now consumed in a Production order.

Event after consumption of 200 nos, AX 2012 still shows 500 nos as REGISTERED but 300 nos as Physical Inventory.

1. Can anyone please explain how can the system allow to consume or sell goods which have not yet been received in the system? (they are just registered). Is this correct? 

2. If they are sold or consumed in the registered stage, why is the registered qty still showing 500 nos.?

    Hi Janish,

    On top of everything if you have consumed the inventory which was registered now you cannot un register the stock and only way is to move forward and post product receipt as suggested by Guy.

    Hi Jainish,

    Did were these items received from a Purchase order? I don't think you want to unregister. I think you need to post the Purchase order Product receipt. This will get the items off of the Registered status. This will probably also correct your G/L (depending on config).

    Hi Andre,

    Yes I want to un register but some one has deleted the item arrival.. And I don't see a way around to unregister

    And I agree to the fact neither to allow physical negative inventor nor financial negative inventory.

    Hi Jainish,

    Do you want to unregister? If someone forgot to post the arrival, then this process should be completed, right?

    Why did you allow for negative inventory in the first place? This is far from recommended for stocked items. I only had one scenario in 20 years where we decided to enable it. In all other scenarios where we were asked for help on inventory problems, issues were caused by having this option enabled for physical inventory.

    Thanks for your valuable inputs again.

    Since the  500 are still there in the registered field even after getting consumed in production order,  this gives a very wrong picture of the inventory for the item.. We need to find a way to un register the stock even if phy. inventory is 0.

    Also , the financial impacts are wrong in this case..

    Since the product receipt was never done, the general ledger is never hit with the value of 500 nos.

    But when consumed in production order it effect value of the 500 nos gets deducted from the GL.

    Hi Jainish,

    So now if registered quantity is 500 and physical inventory is zero it means now there is no inventory available and all 500 are consumed.

    So you cannot un register stock as now there no stock remaining.

    As I told you registered stock is still 500 as that is denoting that in past 500 total were registered and after that consumed. So you can see 500 would also be coming in either picked or deducted. So balance is zero as whatever came was consumed so denoted by physical inventory by zero.

    So registered quantity field will never get updated by consumption but only by next registration.

    Hi Andre,

    Yes, we do allow physical negative inventory. And we do have inventory in other ware houses.. In the above case, the stock was transferred from main ware house and got consumed in the production warehouse.

    Hi Jainish,

    With what you have explained above the system is doing what it is supposed to do.

    So you registered 500 nos on so the on hand form will show 500 physical inventory which is correct.

    You didn't updated the product receipt and consumed 200 on a production order so the balance inventory remaining is 300 and on hand form will show 300 as physical inventory which is correct.

    System will show 500 as registered quantity as that is also correct. Now you will have to post the product receipt and and the 500 will be moved to received.

    What you register is shown in physical inventory and if you have sold something it will update physical inventory not the registered as the registered field gives you that quantity what was registered and is a counter for that. So if you purchased further 500 nos the registered field will show 1000.

    Hi Jainish,

    What are the settings on the item model groups? Are you allowing for physical negative inventory? Please tell more about the related setup. Do you have inventory in other warehouses? What are the settings on the storage dimension groups?
