GP 2013 General Ledger next JE number

One of our clients is asking if there is anyway or any setting in GP that Journal entry window doesn’t use same journal entry number even after deleting one.

Example, I created journal 43100 and I deleted that entry. When I go back to journal entry window, GP reuses that number and gives you 43100 as next journal number. Is there any way to not use that number again and when they come to journal entry, they want to use 43101 instead of 43100.

Anyone have any experience, thoughts or 3rd party recommendations on this?

Thank you!

    Hi,

The only thing that I know of that is even remotely similar is to Enable Posting Numbers in General Ledger (do this on the Company Setup Options window). This option will assign a sequential number to each entry.  It will not reuse numbers. It starts over at 1 every year.

    Kind regards,

    Leslie

In your example, there wouldn't be an easy way since you'd have to void each JE individually.  But for the OP, I think it would work since she was only mentioning a single JE.

Thank you both for the responses. In our case, it is a batch being created from another system. And when there are issues, we typically delete the batch (which is audited). So i guess to void, i'd need a macro of some sort to make it easier. That aside, i assume the answer to the OP and me is that such a feature does not exist - either in GP or a 3rd party?

Matt's answer is the one that auditors would like to happen.  Don't allow deletion and just void the entry.  Everything is accounted for.

You could just void the JE instead of deleting it and that will make sure the number increments.  You'd also have a record of that particular JE being voided.

Hi Lisa - A similar query came up in my company. Did you ever find out if it was possible to not re-use JE numbers? Thanks!

    Sandeep.

    Hi Lisa,

If you got Journal Entry without and GL details then I believe it's okay ( I may be wrong) But if it has Distribution details i.e. Save Transaction should not allow to delete.

If you goto -->Tools-->Setup--Financial -->General Ledger--> Check 'Deletion of Saved Transactions'

This will block user to delete already saved Journal Entry.

Let me know how it goes.

    Thanks much
