What Exactly does RM Mass Apply Credit Docs do?

Greetings,

What happens when you run Mass Apply Credit Docs (Apply All RM Docs window)?  Our AR department is complaining that one of our companies is taking over an hour for Auto Apply Credit Docs to process.  It’s my understanding they download a credit card batch each morning, post, and then run this process.  They have indicated that it’s typically less than 100 payments.  Since I was not familiar with the auto apply process, I had them show me and the first thing I noticed is that they are not using any date ranges.  My inclination is that if I downloaded and posted cash receipts on 2/19/2016, I should run the auto-apply using that date range.  I tested this and it took less than 1 minute to process.

Am I correct in my theory that if they do not select a range, it’s looking at ALL open credit documents?  It does not appear that our month end process includes Paid Transaction Removal.  Would this by why there are 200K records in the RM20201 and why the unfiltered range is causing the process to take so long to complete?

Any advice is appreciated.  Thanks!

Jim

The Mass Apply Credit window is not part of standard GP as far as I'm aware although I do vaguely remember a 3rd party that has it (maybe Willoware?).  What you are describing makes sense though.  If no date restriction is used then the tool is probably checking all documents in the apply open table (RM20201) to see what all it can apply.

The only reason I could think of to not use just today's date is if any transactions are coming in from a previous date or post dated.  Maybe using a week/month range would be more efficient to make sure nothing is being missed.

It does sound like implementing the Paid Transaction Removal tool on a routine basis wouldn't be a bad idea also.

    Matt,

Thanks!  After I posted, I did some research and it seems like this was a free tool offered from Microsoft up to GP2013.  Basically a chunk file and some limited documentation.

I'm running the paid trx removal process on my test server now and will see how the auto apply reacts after it's complete.

    I'll follow up.

    Thanks.

    Hi Jim,

The key here is that you haven't ever moved anything to history. I believe you are spot on.

    Kind regards,

    Leslie
