Employee Separation Reason

Where is an employee separation reason entered?  I can see the field is available in the position history window but do not know how to enter the "separation reason" when an employee separates the company/position.

    Thank you for using the customer Microsoft Dynamics GP forums for your inquiry.

     

    To answer your question, I will need to give you a summary on how the records are created in the ‘Position History’ window (Cards >> Human Resources >> Employee >> Position History).

     

    When an employee no longer works for the company, you would typically issue the last paycheck, then you would open the ‘Employee Maintenance’ window (Cards >> Payroll >> Employee) and check mark the ‘Inactive’ option.  When you check this options, additional 2 fields become required fields you need to fill in; ‘Date Inactived’ and ‘Reason’.  There is a 3 field (Not a Required field, but just as important), the ‘HR Status’ field, which is located in the ‘Employee Human Resources Maintenance’ window (Cards >> Payroll >> Employee >> Human Resources button -or- Cards >> Human Resources >> Employee >> Employee >> Human Resources button)


    These 3 fields will affects the ‘Position History’ window and the ‘Position History Detail’ window (Cards >> Human Resources >> Employee >> Position History >> enter or select an employee ID >> New button or select a position and choose Select) when you create a new record in the ‘Position History’ window by saving the changes made in the  ‘Employee Maintenance’ window

     

    • The ‘Date Inactived’ and ‘HR Status’ fields will update the ‘Position History’ window ‘Date’ and ‘HR Status’ columns.
    • The ‘Date Inactived’, ‘HR Status’, and ‘Reason’ fields will update the associated fields in the ‘Position History Detail’ window.

     

    If you have not noticed, the ‘Separation Reason’ field in the ‘Position History Detail’ window is a field you can edit and change the reason.
