How to correctly design Power Automate for line-level approval in PR workflow?

Hello,
 

I’m currently implementing an approval integration for Purchase Requisitions using D365 F&O Business Events and Power Automate.

The PR header-level approval workflow is already automated successfully — once the PR header is approved by the initial approver(s), it correctly transitions into the line-level review stage.

Now I need more clarity on the correct handling of line-level approvals where different PR lines may be assigned to different approvers.

Specifically:

1) When the PR line review workflow is active, does D365 trigger business events:

  • once per PR
  • or
  • separately per PR line (one event per approver)?

2) For line-level approval identification, which value should be used to map the work item to the correct PR line?

  • ContextRecId
  • WorkflowWorkItemInstanceId
  • WorkflowUserEmail
  • something else?
3) When several lines have different approvers, should Power Automate:
  • loop through lines
  • or
  • rely on individual business event triggers?
4) Does Microsoft recommend handling PR line workflow in:
  • a separate flow
  • or
  • a unified flow that branches by WorkflowTemplateName?
 5) Is there any documentation / official example for integrating Power Automate with line-level approval workflows?

Environment: D365 F&O with Power Automate + Business Events.

    Can you tell us what is the idea of using Power automate with the workflow? I am not familiar with the workflow you mentioned "PR line review workflow", so I am wondering which gap you have, that you want to close with Power automate.
     
    Regarding your question in 2:
    I cant answer it directly, however, once you create the workflow, a business event is created by the system.
    For every workflow you have different business events (Workflow type, element etc.), so I would check which fields you receive from the event.

    Hi Saalim,

    I had attempted to use this for both PR lines and Expense lines back in 2022, but it didn’t work as expected. At that time, we identified a bug where the business event wouldn’t trigger on the initial task assignment — it only triggered when the task was manually reassigned by a user.

    Regarding your questions:

    1. When the PR line review workflow is active, does D365 trigger business events?
      Yes — it triggers separately for each PR line, meaning one event per approver.

    2. For line-level approval identification, which value should be used to map the work item to the correct PR line?
      I had used the standard template at the time and it worked, but I can’t recall the exact field used.

    3. When several lines have different approvers, should Power Automate…
      It should rely on the individual business event triggers.

    4. Does Microsoft recommend handling PR line workflow in…
      In my experience, it’s better to use a separate flow for each workflow in FSCM, though this is not an official Microsoft recommendation.
